In my 30-year career, I’ve had about 30,000 professional conversations with clients, prospects and colleagues. I’ve considered many of those conversations as a "laboratory" where I've been able to experiment with different strategies and approaches. Essentially, my focus has been on researching a unified theory on conversations. I endeavored to find the formula for effective conversations.

In addition to getting advice from two influential mentors in my life, my research was greatly advanced by mentoring, coaching and training others. As I dispensed advice to mentees and people I was coaching, it crystallized what I believed. It helped me to observe, question, hypothesize, experiment, analyze and then come to conclusions that would make a true difference in managing relationships one conversation at a time. My mentees thought it was so valuable that they frequently suggested I write a book and teach classes and seminars. I realized that to be extraordinary at conversations you have to practice it both as an art and a science.

This 36-minute video summarizes the ten major lessons I took away from 10,000 conversations.

I can tell you what I used to do:

-I used to try to convince clients to believe what I believed.

-I used to examine and question their beliefs with a goal of changing their minds.

-I used to readily disagree and take opposing positions.

What I used to do wasn’t working. So, I stopped doing it. I’m a relationship manager, not a politician.

Are you trying to convince your clients their point of view is incorrect?

If you are, how does it benefit your relationship with them?

Instead of trying to convince your client his point of view is incorrect, you can simply explore his point of view and find out things you can align with. He’ll appreciate that you took the time to get to know him better.

Moreover, in many situations, you’ll find that you share more in common than what you might have initially thought. Others may disagree, but I believe you don’t need to take political stances with your clients. It gets in the way of doing your job.

I took a leap and decided to start a podcast without knowing exactly who it was for.

Two years ago, I had just completed my first book and discovered I had no idea how I was going to market it. Previously in my career, I’d been a professional speaker, but I thought, “I have a full-time job and a family. I don’t have time to hit the speaking circuit to promote my book.” One of the reasons I wrote the book was because I wanted to find a way to make a difference and share my ideas at a much bigger level than just with the people in my immediate circles.

And then, I was a guest on a podcast... I thought, that was fun. And I asked myself, “Could podcasting be the best way to accomplish my goals?”

So,

  • 18 months ago, I recorded and posted my 1st video
  • 10 months ago, I launched the show as an official podcast.
  • 8 months ago, I was joined by a co-host, Jakub Kubrak (the Legend Maker)
  • 3 months ago, we were joined by another co-host, Jules Swisher (the Lady Legend)
  • Over the last few months, we started having guests on the show.

But, one thing kept nagging at me. I kept wondering who was in my audience and who is this show for.

One difference from speaking to groups in person is with podcasting you don’t get any feedback. No head nods. No laughs. No groans at my cheesy humor. It’s like you’re performing behind a one-way mirror. It’s like you’re addressing a huge number of people from a deprivation chamber. For the first 100 or so episodes that chamber was my car. I mostly sat in my car by myself and recorded videos. I asked myself, “Who are you talking to?” It was so bizarre. Here I am recording a message without knowing who will be interacting with it.

One of the concepts I like to talk about is how to get through the conversation red zone into the conversation end zone. In business, the red zone is when it’s decision time. It’s when you try to make a sale, get a referral, win additional business or gain agreement for action.

There are lots of games where an offense can move the ball up and down the field without much difficulty. But when they get to the red zone—it gets much harder. It’s the same in conversations. Most conversations flow easily until it’s time for your prospect or client to make a decision. Then, their defense tightens up and aims to stop you from getting in the end zone.

Do you have a process for closing your deals or are you winging it and leaving it to chance?

In this episode of Conversations About Conversations, Jakub and I talk about the proven and repeatable process from my book to get agreement for action and close more deals.

It’s not tricky or manipulative. It’s process-oriented, needs-based, collaborative and consultative.

There are three parts to the process:

  1. Identify the client’s objections with questions such as, “What, if anything, is stopping you from moving forward?” or “What are some of the reasons you might not come on board?” or “Where are you in your decision making process and what’s missing in order to help you complete it?” (Open-ended questions will help identify objections more effectively than closed-ended ones.)

In this episode of Conversations About Conversations, in order to demonstrate the CLEAR conversations model, Jakub and I demonstrate/role play overcoming the objection: “I need more time.”

If you face that objection frequently, this is a must listen. You’ll hear here me slowly and methodically overcome indifference and resistance.

Unfortunately, there are no magic short cuts. This 19-minute episode is about 85% is role play. It might feel a little a slow-paced, but pretty close to the reality of the time you need to successfully overcome a buyer’s resistance.

If you want to close deals reliably, then you can’t steamroll someone into buying—especially if they’re asking for more time. They will dig in. Even if they say they’re going to make a decision in a week, they will remember that you’re a pushy salesman and will probably not take your call.

Being consultative works. It’s collaborative. It requires patience and persistence, but ultimately it leads to happier buyers and will make you feel better about your role in helping others.

Again, if you ever face the objection, “I need more time,” this episode is a must listen for you.

I HAD IT HARDER THAN YOU DO

On this episode of Conversations About Conversations, I discuss the reflective instinct to ONE UP my mentee with: “You think you have it hard—I had it harder than you do.”

The problem is when we don’t exercise SELF-CONTROL (or thoughtfulness) in our conversations, they create results that we never would have consciously chosen.

After reflecting on the conversation:
a. I felt like I invalidated him.
b. I felt like a JERK.
c. I felt like the old curmudgeon complaining about walking 5 miles uphill barefoot in the snow to school.

I didn’t intend to feel any of these ways or put my mentee down. It was a good reminder to be more careful, more THOUGHTFUL and ASK MORE QUESTIONS instead of reacting with my own complaints.

Thankfully, you don’t get a lot of practice dealing with upset clients, but because you don’t get a lot of practice, you don’t get a lot of opportunity to develop competence at it.

One of the more challenging aspects of dealing with clients who are upset is that their upset triggers your fight-flight-freeze response and so naturally you feel like you have to fight back, run away or you just simply freeze.

THE RIGHT VOCABULARY TO GET AGREEMENT FOR ACTION

There’s a point in every conversation when you’ll need to ask your clients, prospects or colleagues to agree to the next steps. I was really bad at this part of a conversation because I didn’t have the RIGHT WORDS or strategies.

As a result, I was often STRESSED about not getting the results I wanted to be getting. I’d spend a lot of time WORRYING. I was CONFUSED I wouldn’t know how to handle things. It undermined my CONFIDENCE overall.

It was truly unfortunate to spend as much time as I had (and worked as hard as I did) to get to this point in the conversation only to then flounder, fumble and not get a decent return on the time I’d invested.

CAN YOU RELATE?

WHAT TO BRING TO MEETINGS

I’m frequently asked, “What should I bring to meetings?”

I used to bring a lot of stuff (i.e. brochures, handouts inside of folders and slide decks) to meetings, but now I hardly bring anything. After pondering this for hundreds of meetings, I’ve come to believe that LESS is MORE.

Bringing less has resulted in deeper RELATIONSHIPS, greater client SATISFACTION and increased LOYALTY because my conversations are oriented around what’s most important to my clients—their NEEDS, their GOALS and their highest ASPIRATIONS.

WHAT DO YOU MEAN BY THAT?

Short questions (generally seven words or less) prevent you from turning questions into statements and make it much clearer that you’re asking a question and will listen to the response.

It’s easy to assume you’ve understood what your client meant, but a short follow-up question offers him a chance to clarify and elaborate.

It’s a false assumption he truly knew what he meant.

We think people are telling us what they mean the first time around, but I’m amazed at how people restate or even contradict themselves when I ask, “What do you mean by that?” or “When you said ____, what did you mean?”

Take the point of view that the first version of a story or explanation is just a draft. When you follow up, you’ll be amazed at how it will change and so will he.

CHECK EARLY AND OFTEN FOR ACCEPTANCE

The problem is you make a lot of ASSUMPTIONS in your conversations.

You make a lot of good points as well.

However, when you reflect back on a conversation you wonder:

1) Did he actually ACCEPT what I said or not?
2) He didn’t disagree. Does that mean he AGREED?
3) He didn’t say no. Does that mean he’s a YES?

The problem with NOT checking for acceptance is you’re making things harder than it needs to be. It’s harder to collaborate and it’s harder to get interim and ultimate AGREEMENT. It’s inefficient and can be confusing for both parties involved.

IS THE PHRASE “I WOULD ARGUE” SOMETHING YOU FIND YOURSELF SAYING?

I keep the song I’m a Lover (Not a Fighter) in mind when I find my clients are trying to argue with me.

Having gone through crisis situations where my clients needed counsel, like the stock market panic in 2008, I’ve learned that even though someone can try to argue with me, I don’t need to argue with them—it almost never leads to a better relationship and usually weakens it.

I firmly believe that two people can disagree without being disagreeable. They can fight for each other (together) instead of fighting with each other over their different points of view and work together toward the satisfaction of their mutual needs and wants.

Pointing out differences in the way you view something versus arguing who’s right and who’s wrong is much more productive. Consider the difference between saying, “What’s wrong with what you’re saying is _______.” versus “What’s different about us what each of us believes is _______.” You can distinguish between two different points of view without being disparaging.

Avoid arguing. Place yourself on the same side of the table as your client. Collaborate and be great.

When you throw your hat over the wall, you’re COMMITTING to doing something.

The idea goes, if your hat is on the other side, and you value your hat, you have no choice, but to get yourself over the wall as well.

THE MUSCLE MEMORY OF SKILL (WAX ON WAX OFF)

To become excellent at any skill, you have to put in the time and practice enough to turn the skill into muscle memory.

In my 25-year career, I’ve had roughly 50,000 conversations with clients—that’s a lot of repetition. But until 12 years ago, I did not follow a specific conversation model so I wasn’t necessarily practicing in a way that would turn me into a champion.

Because I approached each conversation differently. I was developing my skills, but not in a deliberate way. I wasn’t following a method, framework or process.

If you desire to become a champion in your career, there is no skill more important than the ability to be effective in your conversations.

I NEEDED TO BUILD RAPPORT FIRST

When I started in the business world, I was so serious and objective-oriented I didn’t realize the VALUE of taking time to build rapport.

I rushed. I often rushed. I put efficiency and getting down to business ahead of building RELATIONSHIPS.

But I learned from my MENTOR, that I was making things more difficult than I needed to by not building rapport first.

And, because it’s not easy to build rapport with everyone (It’s typically difficult with 1 or 2 people out of 10), I suggest you go into every conversation with a PLAN for getting rapport—espe­cially with people you’ve already had difficult conversations with in the past.

Building rapport first is a surefire way to make your life and your conversations EASIER.
