The BEST Way to Know HOW TO GROW Your Business❓What metrics have you determined are best for your business? Is your current system the optimal one to use?
Categories: Business Operations, Business Growth, Sales, Technology
In Glitch #22, we discussed investing in a CRM (database) to track clients, categories, products, services, deals, calls, emails, etc.
We're guilty of not investing a little extra time to unearth some of the features of our CRM to best optimize marketing and sales opportunities.
It happens from time to time with many business owners who don't invest time in the metrics.
Determine what are the best reports to run to know how things are going and incremental points, during the year, to analyze:
New business development
Profitability
Source of new business
Retention (how often are you losing clients and how does that impact the business' bottom line)
🎯 Goal: Learn how to manage metrics by determining what stats are key for you to know if you're growing (or not).
🚧 Actionable item: Set an hour or two aside to get familiar with how to run reports in your system and determine what key fields in your database will generate clean figures for how each month is progressing with new business development and client retention (keeping clients on the books).

How to Interrupt Negative Thoughts❓Do you let your insecurities run wild in your head? There comes a time you have to ask yourself "why fire Bad clients?"❓Do you fire bad clients? It seems scary, difficult, and counterintuitive, but it's easier than you think.Categories: Business Operations, Customer ServiceYou'll also feel empowered about your business integrity. You'll find better-quality clients once you establish your ideal client and have boundaries around behaviors and expectations.🎯 Goal: Review your current client list to determine if anyone triggers you. The one question business owners fail to ask during the sales process is usually out of fear. ❓Do you reach out to happy clients to ask for a review (Google, Facebook, etc.), testimonial, or endorsement? Most Business Owners Hate Bookkeeping because it's tedious and math is fun only for some people!! There are times we forget what expenses we incur because "out of sight, out of mind". 6 big marketing mistakes most business owners make.❓Is marketing NOT your cup of tea? What part of marketing do you embrace and what parts do you delegate? Embrace marketing as an adventure and not a chore. Category: MarketingMany business owners rely on word of mouth which is and, always, has been the best way to secure new business. However, it's much more difficult to gain trust and credibility. You could supplement and strengthen the ways people find you and how they learn to trust you.🎯 Goal: Given the volume of possibilities, do you delegate any of the marketing for your business?Adventures are meant to be fun. Marketing is magical but only when we understand our role and how skills apply to that part of the business. There is so much to consider when it comes to marketing. When you Go into business with other humans, handshakes and napkins may not cut it in the long run. Often, business partners may think everything will be hugs and hearts.❓Do you have partners? Let's face it, we don't go into business with someone we don't like. It's like marrying someone you think you'll divorce.People don't prepare for the worst because a demise or debacle isn't typically a planned event. When disagreements occur and opinions dominate, an impasse could create insurmountable hurdles. It's emotionally draining and expensive.🎯 Goal: Draft and/or review a written agreement with business partners. When you have any kind of arrangement and relationship with others where money is involved, every business needs a written document that explains each partner’s rights and responsibilities. You also want to have provisions if and when one partner wants to exit the business for one reason or another.Examples of clearly defined agreements:📝 Partnership Agreement📝 LLC Operating Agreement📝 Corporate Bylaws📝 Articles of Incorporation📝 Buy-Sell agreement (including insurance policies for death and disability)🚧 Actionable Items: Review with your attorney what documents you need and/or what documents you have that may need to be updated.Being a Glitch Guru provides a sample partnership agreement for you to download.Discuss with your attorney and make sure to include areas of a sensitive nature among the partners. This doesn't make you money but it costs A LOT if ignored whether it's personally or in your business. ❓Have you made time to establish a protocol for both your business and personal insurance policies?Category: InsuranceHave you contacted your insurance broker yet to schedule an appointment? It wasn't that long ago (Glitch #9 to be exact) when we asked if you've reviewed your insurance lately.Maybe your policies aren't renewing anytime soon.a. Do you know where your policies are?b. Do you have an updated insurance card in your automobile glove box?Contrary to popular understanding: you must buy insurance when you don't need it because when you need it, you can't get it.Yes, it's a chore that doesn't make us money, but it can save us money. Insurance is considered an expense until a catastrophe strikes.🎯 Goal: insurance companies impose increases on policies regularly for one reason or another. Many policyholders don't know what they're paying for.Two things could be happening:1. You could be spending more money than necessary by not consulting with your licensed insurance professional.2. You could be underinsured and won't know until there's a claim which is when you need the insurance the most.🚧 Actionable item: Know your coverage items and premiums to have an intelligent conversation with your Broker/Agent.A. Schedule 60 days in advance to plan for a conversation with your broker. It's known as an "annual review" and most insurance agencies don't do it or dislike doing it.Insurance brokers make money on your insurance each time you renew your policy. Yet, for most agencies, the thought of having a conversation with a client opens them up to hearing how you may be unsatisfied. This is a threat, but instead of speaking with you, they shy away from having annual reviews with clients. The best agencies are in communication with their clients multiple times during the year to be proactive and accessible.B. Organize a file for all of your policies separating business vs. personal. If you don't have a Broker or Agent, make sure you discuss with a Carrier representative your concerns with ensuring adequate, appropriate coverage for the premium charged.💥 We wrote a blog, 3 Things to Expect From Your Insurance Professional: https://auroraconsulting.biz/3-things-to-expect-from-your-insurance-broker/ Find out more about the project: https://auroraconsulting.biz/lets-glitch/Welcome to the Biz Glitch 366 series where we discuss 366 mistakes that we've made and seen in business over 6 decades collectively. Period. ❓Do you track client details and activities?Category: Business Growth, Business Operations, TechnologyEveryone has that messy drawer where we throw random stuff never to see the light of day.Not tracking vital client activity can be the same type of mess. Many business owners don't have a database or a CRM system (client relationship management). And if they do, sometimes they don't maximize all the features and reporting it provides. This could hinder performance and/or growth if we're not tracking metrics or accurately tracking metrics. 🎯 Goal: Spreadsheets are not the answer when it comes to tracking clients and their investment in our products/services.Invest in a proper CRM. Raising Prices is Uncomfortable in business. ❓Are you undercutting your value by undercutting your prices?Category: Bookkeeping, Sales, FinancialsThis is common for new business owners or business owners with new products. We try to either "buy" new business with lower pricing or we're not sure how to execute so we price it low to see if there's any traction. Other reasons:1. We feel the need to undercut the competition.2. We haven’t done our homework.3. We don’t have the confidence to charge more because we don't understand our value.🎯 Goal: Bolster your business' self-esteem by appropriately determining if you're underpricing your products and/or services.🚧 Actionable Item: Review your cash flow, budgets, and overall financials to see if you're covering your overhead. If people leave you, they may not have been worthy clients in the first place and/or were merely price-oriented. Organizing Financial Documents is boring and tedious. Unfortunately, it's the boring basics that keep us on track. ❓When was the last time you reviewed where and how your business and financial documents are organized?Category: Business StructureWhy can you expect us to be a broken record on some of the topics and tasks? A few reasons:It's a fresh start whether it's a new year, a new month, or a new quarter. We saw too many mistakes around basic responsibilities that we know are easy to procrastinate. Some tasks are repetitive throughout scheduled times of the year such as every month, every quarter, and every year.Staying organized with business documents can, sometimes, be like playing a game of hide-and-seek. If you don't know what business documents are vital and why, then you won't know why or when you'll need them.Based on what we experienced, many business owners didn't know either where they filed their business documents or they didn't know what documents were considered vital.🎯 Goal: Organize all of your financial documents by labeling them with the name of the document.Don't let the scanner default with a nondescript file name.🚧 Actionable item: If you haven't already, download our basic financing document checklist as presented in Glitch #12. Bit.ly/AuroraChecklistKeep track of contracts, invoices, and other important papers we share in our videos. The longer you let them pile up, the longer you'll procrastinate on organizing them.We did these two short videos/podcasts. How Can Your Business be Dissolved? When you incorporate a business, you must register your entity with your state. Then, most states require entities to renew with your state. It's often referred to as filing your "annual report."❓Is your business in "good standing" with your State regulatory authority? Category: Business Operations, Business StructureHere's an article about an annual report by state:https://www.corpnet.com/blog/annual-report-list-by-state/ 🎯 Goal: Locate your state’s reporting page online. Make sure you bookmarked it and that you're enrolled in their email reminders for when the annual report is due.In Connecticut, we must renew our annual report by the end of March of each year. It was $20 per year until 2021 when it increased to $80 per entity.🚧 Actionable Item: Schedule this in your calendar for each year to be ready. ❓Is Your Client Data Protected? Queue Jaws theme music.🐬 There's danger lurking. Category: Cyber Security, InsuranceNow more than ever it's critical to protect your data due to scams, phishing attacks, and, hacks. An insurance policy is a financial remedy when things go wrong. This means having a legal defense when someone claims you're at fault.Cybersecurity insurance can get complicated. There are different considerations when considering how to protect your business against a breach.Cybersecurity can be either first-party or third-party coverage. The most common first-party cybersecurity coverage is known as data breach insurance.Cyber liability coverage can protect your business if a third party sues you for damages as a result of an incident. What does first-party coverage protect?✅ Cost(s) to investigate the incident✅ Cost(s) to notify clients of the breach✅ Cost(s) to assist clients after a breach including anti-fraud services (credit monitoring)✅ Cost(s) to restore compromised data✅ Cost(s) of business downtime✅ Risk assessment of future incidents✅ Ransomware-attack paymentsWhat does cyber liability coverage pay for?✅ Legal fees necessary✅ Settlements and court judgments✅ Regulatory fines for non-compliance🎯 Goal: Review what could happen if you had a breach. Can you cover the expenses?Breaching a client's data and confidentiality is costly and so is having your own information hacked.Depending on your type of business, a cyber security policy can simply be added to a Business Owner's Policy (BOP).It can get more complicated than that. Accounting, Bookkeeping, Branding, Business Growth, Business Operations, Business Structure, Credit Score, Culture, Customer Service, Cyber Security, Financing & Financials, Human Resources (HR), Insurance, Marketing, Mindset, Legal Issues, Outsourcing, Sales, Technology, Training/Education, Website ManagementGlitch #1: Category: MindsetQuote by Neil Gaiman: "Go and make interesting mistakes, make amazing mistakes, make glorious and fantastic mistakes. Break rules. Leave the world more interesting for your being here."Mistakes are delicious lessons we learn along the way to building a better business. This first glitch is more of a welcome introduction. And to say CONGRATULATIONS! We're thrilled you're here! When we learn from each other and support one another. It's how we grow. That's why we started this project!Plus, we all have that "What was I thinking!" moment(s)! No? Just me? Carry on! 😎Don't beat yourself up by thinking you could have prevented something or done something differently. This is how we learn, albeit, bumpy. There's no shame in making a mistake. It just means we have unfinished business to attend to...One-minute video: https://youtu.be/vVAEokDp_pQ?si=Xv1k_qt7CBVtWnMi🎯 Goal: Celebrate the learning. Celebrate the lesson.🚧 Actionable Item: Don't assume that the mistake won't rear its ugly head again.Incorporate the lesson by documenting it in a new process or system to try to prevent it from happening again. It's not guaranteed it won't, but it's more manageable when we document the process. This will come up a lot as we move forward.People think they'll learn because they remember how they felt, but sometimes the mechanics of how we execute could be forgotten which could lead you back to the same mistake. We'll be talking about the "holy grail" of small businesses (the dreaded Procedure Manual) a lot in upcoming glitches.💼 Download our Infographic, Entrepreneurship: Pride & Pitfalls. This is a presentation we gave at a local Chamber of Commerce in 2019. Bit.ly/AuroraInfographicI wrote a short blog about goals being hard work, but we can handle it: "It's a Goal to Set a Goal." https://www.auroraconsulting.biz/goals/its-a-goal-to-set-a-goal/There will be glitches that may not apply to you. It's good to read through them anyway to have them within your purview, just in case.FIND OUT MORE ABOUT how you can receive the glitches to your inbox: https://auroraconsulting.biz/lets-glitch/WHO WE ARE:60+ years combined of owning, running and managing businesses and working with thousands of business owners to understand how business can be fun or it can falter. Heather Rae Doyle was introduced to cryptocurrency through a friend who was mining Bitcoin. What started as recreational investing led to the formation of their institutional crypto fund, CoinKings.
When the fund began attracting investors, Heather found herself having nonstop conversations with women asking things like, "What is crypto and why is my husband putting his bonus in your fund and not remodeling our outdated kitchen?" It wasn't scalable to be having in depth crypto and NFT conversations one on one.
Heather asked her community to be patient and created her first event, Wine Women and Wallets: Welcome to Web3. The events were a success and attendees were green lighting participation in the fund. What came as a surprise was the women's interest in doing their own investing. Women wanted to learn more than the basics and Heather found herself creating future educational programs as well as serving as personal advisor for women looking to develop a personal crypto and NFT portfolio.
As success grew, so did the opportunities and Heather found herself in a position needing to scale her services. Heather founded CoinQueens as a web3 company and "minted" a founding team of 30+ impressive, industry leaders.
These women range in skills from developers, finance professionals, marketing, blockchain, investors and more. Heather plans to use this team to grow CoinQueens into a premiere web3 consulting and advising business along with continuing to educate and onboard female business leaders to the opportunities of web3. Visit https://www.coinqueens.io/ for more information about Heather and everything CoinQueens.

ARE YOU Starting a Side Hustle Business? You may want to be mindful of these top 3 mistakes "side hustle" small business Owners make. We've seen it first hand. The so-called "gig economy" spawned millions of new Small Businesses. Many of these new small businesses are actually second income streams for folks.
That's why so many people call their small business a "side hustle." The problem with the side hustle mentality is a failure to treat the income, the service/product, the customer, like you're running a small business.
We encountered this problem recently with someone we depend on; for this person, the service provided is a side hustle second income after their day job income. The service provided provides convenience for us with our busy schedules. The pricing is comparable to the price we would pay if we took care of this ourselves, so we're paying for the convenience more than anything.
The problem is, often the convenience is...well...INCONVENIENT. And it happens a lot. So much so, that we recently ended our four year long relationship with this service provider.
That got us to thinking about other folks like this person who have a side hustle type of gig.
TREVOR: In fact, I said to Linda, "(THAT PERSON) doesn't run her business like a business. They're not a business owner."
As customers, when you've been inconvenienced too many times, you can sometimes feel mistreated by a business owner.
As business consultants and advisors, we observed how this business owner failed to treat their business like a business instead of "just some extra money" every month. And that led us to the Top THREE mistakes that side hustle business owners make.
ONE: Failure To Nurture Customer Relationships. You have to put a face to the money. You have to think of your customer as an important part of your future, not just those couple of extra dollars you're making now.
TWO: Poor Time Management. Many of your customers are willing to pay you comparable market prices simply for the convenience of what you provide. In other words, for basically the same price, they can often do it themselves.
If you're not honoring your own time, you're probably not honoring your customer's time, either. And that failure will quickly diminish their sense of convenience for the service you provide.
THREE: Absence of a Written business plan. Successful Small Business Owners understand that one day after another presents different challenges. Supply chain issues and pricing is only the latest issue. COVID-19 was another.
What other issues can impact your business, whether positively or negatively? More importantly, what is your PLAN to face challenges or take advantage of opportunities? You cannot have that PLAN in your head; write it down.

Today, we discuss "The Trevor Method" and how Trevor designed standards to quadruple his income and dramatically reduce stress.
ACTIONS speak louder than words
Strict standards of doing business
Create a funneling process
REFUSE to do business with people who fail during the funnel phase
Improves quality of prospects & experience but doesn't eliminate completely
How to incorporate The Trevor Method into your hiring practices?
First, let's survey the current employment/hiring landscape.
Shortage of potential employees
People want better wages and better working conditions
Excellent time for the BEST businesses to get the BEST people
Examine competition: many Small Business Owners operate as if it is still 2019.
To differentiate yourself, you must have a longer term vision of the future of work and the future of the workplace in America
Next, create your own "Trevor Method".
A. Standards. What is your vision of how you want to conduct business, the "personality" characteristics of you, your business, and the culture within your business? You have to know and respect yourself first before you can go out there to begin finding the ideal employees. Who is your ideal employee? Write down the characteristics.
B. Wages. The biggest unknown and the biggest failure, is NOT knowing the ideal wage to pay people. What is your competition paying? What is the national average for a similar position in your business? US Dept of Labor provides an overview of wage data for hundreds of occupations:
LINK: https://www.bls.gov/bls/blswage.htm
BE LIKE the New York Yankees. Not only is there a prestige for playing for this premier baseball team, the team hires the best talent and PAYS for that talent. The Yankees can do this because, first and foremost, they understand their true VALUE as a business and as an employer
C. Pricing. If you pay a higher wage, how does this impact pricing of your products/services? Many SBO's are terrified of raising prices for fear of losing customers. We believe that customers will pay higher prices for the best quality, service, and experience. You cannot provide those three things with sub-par employees on your team. Plus, there are other ways you can reduce the impact of higher wages on your pricing calculus.
D. Excuses. Don't become terrified of how bad things are "out there in the world." Media sells itself by selling bad news. If you know your standards, if you know what you want to achieve, you can easily ignore the bad news about pricing and wages and employee shortages.
E. Culture. If you don't know what your internal business culture is, or you don't think you have one, you'd better hurry up and get one together because potential employees want the "experience" of working to be better, not just the salaries.
Things to consider for your culture:
a. Inclusivity. Are you honoring the identities of historically underrepresented people?
b. Positivity. Do you and your managers promote a positive reinforcement method of workplace standards? Or, do you follow the worn-out negative embellishments?
F. Benefits. Besides salaries, what do you offer employees by way of benefits, including health care, flexible scheduling, vacation/sick time, training, etc.? * Hiring Funnel. 1. The MOST difficult part of your hiring funnel is standing firmly by your standards, saying "NO" and standing by that decision. 2. Create behavioral tests along the way of your funnel. 3. Eliminate candidates at different stages of the funnel. Think of your funnel as a US Navy Seals obstacle course: if a candidate fails along the way, they're out, there are no second chances. 4. Sell your TOTAL experience, not just the wages. 5. Final stage of funnel is FACE TO FACE.
How are you reacting, over-reacting, monitoring, obsessing over credit score inquiries? Too many folks concentrating on the wrong then when it comes to their credit score.
We reviewed a dozen Client credit reports. We're noticing a disturbing trend with EXPERIAN credit reports: their is a negative impact of 8 points for inquiries for every credit report we examined, regardless of credit score.
As you will see from the examples, with scores ranging from the 500's to 600's to 700's, removing the 8 impact doesn't really provide any dramatic improvement or detriment to the overall credit score.
Inquiries are a necessary part of applying for credit or financing. The creditor or lender must review your credit report.
The "hysteria" and concern about inquiries on a credit report on the part of Consumers is OVERBLOWN nonsense and a WASTE of time and energy.

Today we discuss the Business Judgement Rule and a historicall lawsuit. We won't tell you who sued whom, you'll have to listen.
The lawsuit was about how a business owner made decisions about the path forward for the business but the shareholders sued citing that the priority is for shareholders to get paid first. Plaintiff won the lawsuit.
This happened in 1919 and to this day, many folks believe this historic lawsuit sets a legal standard for businesses and corporations to maximize profit for the benefit of shareholders.
What the decision really did was create a firm standard that the owner/CEO/director of a business has wide, wide latitude in the area of business judgement. The owners/CEO can make all kinds of decision for the betterment of the company solely based on their judgement.
With regard to putting shareholders first, the lawsuit didn’t set a legal standard as much as it set an ethical one. Why is this important to you, our Small Business Owner audience member?
If you have investors in your business, they DON’T get to tell you how to run the business, especially if their argument is how they have to get paid before anything else. For business owners like you, be reminded that the decision by a court in Michigan truly set the standard for business judgement decision-making.
So, next time your investors start griping, your answer should be, “Hey, you invested this money in ME and my idea and my business sense. You have to trust me to use your investment (and the capital we earn from profits) to make good business decisions to build this business.”

60+ years combined of owning, running and managing businesses and working with thousands of business owners to understand how business can be fun or it can falter. Know ahead of time what mistakes to manage and what problems to prevent.
How to respond to disgruntled customers involves a few consideration including the timing of when to communicate with them. Customers may not always be right even though they expect a level of service to their satisfaction. How one manages their response is a choice. Sometimes we have to look at ourselves (as a business owner) to know how we MANAGE REJECTION when you're dealing with an ornery customer. Avoidance is not a strategy and could exacerbate a delicate situation when the customer just needs to know you are present and empathetic.
When you (customer) hire someone and ultimate relinquish control, there are certain expectations that must be put out on the table so everyone is on the same page with how that service is to be performed.
