Are your files all over the place? Do you want a simple method to organize your files? We'll dive into Tiago Forte's simple PARA Method. Do you struggle with naming your files? In this video, I will give you a guide to naming your files so you don’t have to worry about it.

In episode 087 of the TBM Show, Paul Dittus delves into the art of file naming and organization, transforming your digital clutter into a streamlined, efficient system. If you've ever felt overwhelmed by files scattered across your desktop or buried in your downloads folder, this episode is your roadmap to a more organized digital life. Paul offers actionable tips and tested methods for structuring both your files and folders, utilizing best practices for naming conventions and modifying structures to suit your specific needs. Tune in to learn how a little organization can make a world of difference in your daily productivity.

Episode Overview:

  • Introduction to the importance of file organization

  • Best practices for naming files and using dates versus keywords

  • Guidelines for structuring folders from general to specific

  • How to use modifiers and special characters to maintain order

  • Exploring Tiago Forte's PARA method for organizing tasks and files

  • Practical examples and templates for business, YouTube, and podcast file management

5 Key Lessons:

1. Effective File Naming Conventions:

Learn the importance of using the international standard date format (year-month-date) and clear, concise keywords to ensure your files are easy to identify and search.

2. Folder Structure Best Practices:

Organize your folders in a hierarchy from general to specific. Start with broad categories like the year or project name, and narrow down as needed (e.g., raw photos, exports).

3. Using Modifiers Wisely:

Incorporate modifiers like version numbers (e.g., V01), intended audience names, or creator initials to differentiate files while maintaining their order.

4. Avoiding Special Characters:

Stick to underscores, dashes, or hyphens to avoid compatibility issues across different operating systems and to make future migrations smoother.

5. Utilizing the PARA Method:

Adopt Tiago Forte’s PARA method (Projects, Areas, Resources, Archive) to keep your files and tasks organized from most actionable to least actionable. Customize this framework to best fit your needs.

Welcome to the TBM Show! In this episode, I am going to share a game-changing technique that will help you plan and prioritize your week in just 5 minutes or less. It's called the ABC method, and it's what successful entrepreneurs and coaches use to maximize their productivity.

But before we dive into the ABC method, I want to talk about the importance of doing a time audit. By tracking how you spend your time, you can identify where your energy is being wasted and where you can make improvements. Trust me, this simple exercise can provide immense clarity and help you eliminate unnecessary tasks.

Once you've completed your time audit for a couple of weeks, it's time to move on to the ABC method. Think of your tasks as A, B, or C. A tasks are the most important ones that align with your goals. Neglecting these tasks can have significant consequences. B tasks are secondary but still important, while C tasks can be done if you have extra time and energy.

To implement the ABC method effectively, I recommend making a list of your tasks and assigning priorities using the ABC categories. Next, try time blocking. This productivity hack involves scheduling specific tasks in dedicated time slots on your calendar. By incorporating time blocks into your schedule, you ensure that nothing falls through the cracks.

Remember, by understanding the big picture and allocating time efficiently, you can accomplish more and make the most out of your week. So give the ABC method a try and watch your productivity soar. Let's get started on planning our weeks like pros!

Let me introduce this episode's sponsor, Finisher Secrets. They offer a weekly newsletter that provides actionable tips to boost your productivity and focus on the right tasks. Visit https://finishersecrets.com/paul to sign up and receive weekly tips. Plus, you'll get their one-page planning system that utilizes the ABC method.

Many smart people make the mistake of being in motion too long. Being in motion gives people the sense of getting things done (e.g. outlining a video, studying for a test, searching for a diet). At some point, our focus and energy need to shift from motion to action. You won’t lose weight by spending all your time reading books on dieting or by researching the best gym. You need to take action and go to the gym.

Minimalist living can help you live a more meaningful life with less. Less of the distractions that keep you away from what is truly important. Even good things can be a distraction if they don't add value to your life. Your smartphone is a very useful device, but it could be distracting you from writing an article, composing a song, or starting to read a book.

Set yourself up for success by intentionally choosing the things that you allow into your life. Simple living helps you to go back to the basics of what is valuable and helps you remove the excess. As Socrates once said, "The secret of happiness, you see, is not found in seeking more, but in developing the capacity to enjoy less."

The Renaissance man of the 21st century can be found creating videos on YouTube. Instead of books, we find horizontal videos filling the libraries of modern Alexandria. The landscape of horizontal content is changing as vertical content dominates on your mobile device. Who will win? There are concerns about how the medium of short vertical content will impact the message.

In this episode, Paul dives into the impact technology and the internet has on our brains. If you look at the data and the neuroscience behind technology use, we encounter around 4000-10000 ads per day and the media-rich content we consume overwhelms our brain. Back in 2012, a study found that we were consuming around 63 gigabytes a day. Fast forward 10 years and that number is likely to have increased. "Rich media" is overloading our brains. We were made to learn thimble by thimble, not by drinking out of the water hose of modern media. Our cognitive abilities were not made to handle the overstimulation of our brain.

In this episode, I look back at 7 messy highlights of 2021. On the podcast, I don’t want to just talk theory, but also demonstrate how embracing the messiness of life can lead to a more enriching life.

These messy moments of 2021 include: starting CrossFit, starting a new career, moving to a new state, starting a YouTube channel, and more! Taking on the messiness allowed for new opportunities and growth. Even though it was hectic, I’m so glad for the new adventures that began as a result. I’ve learned so much by just starting and kicking my perfectionism to the side. Every video I make or podcast I record has shown me ways to improve that just learning about online would never have shown me directly.

Stick around and I’ll share how I’ve been able to enjoy more books and podcasts at the end.
