If you listened to a previous mini hack #21 from the 8th November, it was about breaking the ice, using icebreakers at the start of a meeting, well this is effectively moving that activity or purpose to an on-line meeting.

Today’s mini hack is about getting out of your team and your comfort zone and have a chat. Talking makes solutions move sooooooo much quicker. Stop preventing conversations with too many tech cards, too many documents and emails and go and chat with people instead, hopefully it will make your work flow much quicker.

Another mini hack today which is from the Design Thinking body of knowledge and the masters of Design Thinking - IDEO, and that is The Rules of Brainstorming.
Brain- storming is one of those things that gets thrown about a lot as a technique. But it can often descend into just a flurry of ideas or conversation without any resolution or purpose. OR even worse self/censoring or censoring other people’s ideas can yield an atmosphere where the best and most creative contributions never make it to the table.
The Brainstorming Rules:
Defer Judgement
Encourage wild ideas
Build on other’s ideas
Stay on Topic
One conversation at a time
Be visual
Go for quantity

Well today it’s another mini hack and we’re talking Cycle time folks, what is it? Why measure it? How do measure it? You should, because this one simple trick could unlock a bunch of potential improvements for you and your team.
I was inspired to record this mini hack, and perhaps a small teaser, I caught up with Adam Boas last week and that interview will be coming soon, one of the things he spoke of had me face palming straight away and the following Monday I was annoying people all over the place asking what their cycle time is.
Cycle Time is the time it takes a piece of work to get from first being worked on to being delivered.
Measuring cycle time can tell you so much about how effective your team is, how you might ask? Let us count the ways….

Today another mini hack and it’s not strictly something linked to the Agile community and it’s certainly not something I invented but it is a good companion tool to working with agility and also levelling up your personal performance and it’s called Pomodoro Technique.
Named Pomodoro after the kitchen timers that come in the shape of a tomato the pomodoro technique was invented by a man called Francessco Cirillo in the early 1990’s when Francessco was at uni looking to get more done in less time.

Today a women-in-tech inspired mini hack, how to invite more women’s voices to participate and ask questions in open forums at conferences.

Here’s the problem, Men always ask questions first, and are always more likely to follow up with more questions and then build on them. Here’s the article that Ed O’Shaunessy shared that has the data on this topic and convinced me to do something more intentional in our session in the afternoon.

We asked the Panel to share with us their stories of BAD things, Ugly Things and Good things they have borne witness to, and the things they have learned from their experience of scaling agile teams of teams, to very large organisations.
Such a long way we’ve come as a community to have gone through so many scaling adventures now and interesting to hear the breadth of what we have learned in that time.
This was our first test of recording an episode of The Weekly ReBoot live so it was kind of an experiment for us, but happy to say it recorded ok enough for us to want to give that another go. In terms of the audio you will hear some mixed qualities and I’ve tried to edit up where I can. In terms of the insights and answers, they were top notch, so I hope you enjoy listening along to our panel of experienced experts.

Todays episode is another mini hack, and it’s about Writing better descriptors, for your tasks, cards, or stories, or basically for whatever you call the units of work you do.
In the beginning, just after the dark ages of software in the 90s, people were discovering better ways of developing software and a thing called the ’User Story’ was created.
Sometime between then and 2001 the user story format was created by Mike Cohn, and it really was a handy way to learn how to first engage with user stories and template them up, in fact I still coach absolute beginners to write stories this way.
And the template goes:
As A, I want, So that
“As a
I want
So that
And a real example for anyone who might be new to User Stories:
"As an on-line shopper, I want to update the number of items in my basket, so that I can complete my transaction without starting from scratch. "
Many people find following the template problematic, it’s a bit long winded...
Here are some examples of improved descriptors, before and after:
I had a task called: "Organise Tickets for others” which I improved to be “Organise LAST tickets for the 6 panelists”
Just 3 little extra words but so much more meaning.
“Last Ticket” which I improved to be “Transfer my LAST ticket to Indra”
“Payment Methods” I improved to be three cards:
“Change iCloud payment method to co. account"
“Change Drop box payment method to co. account”
“Change Telstra payment method to co. account"
And the keen eyed amongst you will see that it also gave me a prompt to break that story into 3 stories.

So that’s the mini hack for the day, make intent a first class citizen when writing tasks or stories by writing better descriptors and your team or future you will thank you for creating that clarity and understanding and saving you time and brain cycles.

Here are the three hacks to get more reflection happening in your teams:
Ask for a few minutes reflection in a session, and if you can’t get those few minutes then as a reflective question like “Someone remind me what happened and why we made that decision back then”
Set it up as a daily habit, use a tool like Slack and a slackbot to remind you daily to answer it
At the end of a session or workshop save a few moments for shared reflection, either set it up yourself or get into the head of the meeting facilitator to save you a few minutes so you can go around the room and reflect.

Well, here’s something that’s coming from the Agile community here in Melbourne, Hannah Browne has left Cevo.
Hannah Browne was interviewed by me in November of 2017 when she was the GM of Cevo. She is very active in the Australian tech community and her mission is about building and growing companies. In 2017 Cevo was two years old and 30 people strong, bigger and stronger now Hannah has decided to move on, but I wanted to re-play this interview and hear again what makes Hannah tick. I love catching up with Hannah she’s a force for good things, for women in tech and for tech leadership in general and I’m very interested to see where she goes next.
Hannah Browne was the GM of Cevo since its beginnings in 2015 and is passionate about making Melbourne a technology mecca, she is a vibrant and ambitious technology leader and her energy is infectious.

If you’ve worked in an Agile team, you’ll know the satisfaction you get from pulling work into the Done column. There really is nothing like that feeling of getting something - even something small - accomplished and that you’ve delivered some value.
But there’s a lot of variety between what people consider to be ‘Done’ in all different types of teams for all different types of work, and how do we ensure that we don’t accidentally build too much into our what we build?
This topic isn’t about making judgements about how good you are at your continuous delivery pipeline if you’re developing software, rather it’s a simple trick that you can use to get clearer on the work you are doing in the first place.

Renee is an Enterprise Agile coach and and also famous as one of the podcasters on arguably the most famous Agile podcast (and one of my favourites) the Agile Revolution. She also writes at Agile Forrest works at as a Project Lead at BCG and is currently heading up their Agile capability in Australia.
We hear about her agile beginnings in Australia ‘back in the day’ and about what she does now, it’s interesting to hear from someone who is tackling such big challenges in such big organisations; she is actively reaching out to the Agile community in Australia to bridge some gaps in understanding.
Renee opens up about the challenges of her past year at BCG but also the pleasant surprises she has found along the way that has removed her prior scepticism.

Having the scale that Spotify has requires the need for smooth execution to increase the likely-hood of success and coaching is one way to help with that.
Erin comments that the Technical Engineering practices of Envato - a place where we both have worked in the past - were of a high standard, so we have high expectations of software development teams, and there’s a mix at Spotify.
Erin talks about the Hyper scaling at Spotify and how it means coaches are as relevant as ever.
There is sometimes an underlying skepticism of coaches adding value, like anywhere the value of coaching needs to be articulated. The way you work and how you work relies on how good the coaches are in the teams. Coaches reduce friction in how we collaborate, make things work smoothly, having coaches around generally helps that.
What helped Erin was demonstrating value, getting stuck-in and helping teams and showing teams you have impact reduces the skepticism.
Of course I couldn't resist asking the question - Is there such a thing as The Spotify Model?
Interestingly the commonality of ways are working centre on things like - the language that is used: Tribes, Squads, Chapters the way they organise, but it’s not prescriptive and those videos are considered a snap-shot in time and perhaps aspirational. People are ok to own and come up with their own ways of working.

Ways of working seems to be something that is created with intention and collaboratively.
Experimentation happens to allow things to change.
On Culture I ask - Is there a common Culture? Investment in alignment, sharing, transparency and also celebration helps with the challenges of the scale of Spotify, not to mention investment in the onboarding of new employees.

Pleasingly it does seem that Culture is positive, alive and well at Spotify so we can all keep feeling good about the company that really woke us all up to how Agile ways of working can be an integral level in the success of such a digital giant.
Will we ever get Erin back to Melbourne? Let’s hope so!
