  1. Agenda

  2. send out in advance

  3. review at the beginning of the meeting

  4. create a meeting template for meetings that happen regularly

  5. Create a safe environment

  6. be positive

  7. remind people that what happens in the meeting stays in the meeting.

  8. MODEL IT

  9. Assign/Know Your Roles

  10. everyone should know what their roles are prior to meeting.

  11. sometimes they are the same, sometimes they change.

  12. timekeeper, notetaker, reminder when people get off-task, etc.

  13. Take notes

  14. two ways that notes should be taken.

  15. have a notetaker, who records “meeting minutes” in as much detail as possible and then send them out at the end of the meeting. (Include supervisors if needed)

  16. everyone should take their own notes, in their own words, doesn’t have to be long.

  17. End with “Action Steps”

  18. The meeting should conclude on schedule.

  19. Review the meeting agenda to confirm that you’ve covered everything you set out to cover.

How to Give Constructive Criticism - There is a fine line between constructive criticism and destructive criticism and if your conversations result in the latter, it could do a lot of damage.

I have been on both sides of criticism. I’ve offered it to people when it was my responsibility and other times I’ve offered it when I felt like I knew how to do something better. I’ve received criticism in moments that I’ve needed it and also in times when I didn’t want to hear it…

Patterns are everywhere in our lives and I realized that I had a pattern I would follow when I was giving someone constructive criticism. It’s been interesting for me to develop these thoughts and identify when I first learned this framework and to be honest, it’s not very glamorous.

I didn’t learn it at a high-energy personal development conference. I didn’t gain this knowledge from an expensive mentorship program. I learned how to give constructive criticism when I first became a teacher.

I was teaching on the beautiful islands of Saint Kitts and Nevis, in the Caribbean. As our first term was ending, I was responsible for preparing the Grade 5/6 class report cards at our small private school and I got together with a veteran teacher, who was also new to the school, to finish them.

The reporting format was different than the type I grew up with and I remember this teacher asking me “how have you done report cards in the past?” and then she burst out in laughter after realizing I hadn’t done a single report card ever and that I was always older than she thought I was.

After we stopped laughing, we sat down and she walked me through the process of writing report card comments. Fast forward five years later and I’ve realized that in many of my conversations I have with my students in which I have to give feedback, I’ve borrowed a lot from this process.

The process I use to give constructive criticism is broken down below:

  1. Be positive | Begin the conversation on a positive note. Commenting on something the person you are giving feedback to is doing well is a good way to start, or you might choose to offer them a compliment. Be authentic and only say something you actually mean. People will see through it if you don’t.
  2. Offer your feedback | This is your time to provide the feedback you want to give. It is important to understand and know how the person you are talking to responds to feedback. Do they want to know what they are doing incorrect as quickly as possible? If so, just tell them. Would it be easier for you to ask questions that guide them to realize your critique on their own? It might be. Will the person shut down if you aren’t careful with your wording and body language? These three questions are very important to consider when you want to offer constructive criticism.
  3. Next steps | The conversation should ultimately end with both people (or groups) clearly understanding what their next steps should be and when it should be completed by. Closing with another positive comment such as “you’re doing a great job and I can’t wait to see ________ when you’re done!” tells the person receiving the criticism that you care about them.

I really believe that this process can provide you with a framework to follow when navigating the potentially uncomfortable situation of giving someone feedback. I know that when I’ve received criticism within a similar framework, I’m much more open to hearing what and why the person is offering it to me.

Perhaps the fine line between constructive criticism and destructive criticism doesn’t lie in what we say, but in how we say it.

This is Matt from the Greatness Every Day podcast and I want to say “thanks” for listening to this episode and I hope that you’re having a great week. I’m feeling rested and rejuvenated for two reasons: 1) This weekend, we had our first sessions of the Greater Habits Coaching Program that I’m running and 2) I spent the past few days visiting friends and that time was really good.

Let’s jump into the topic for this episode and from the title “Make the DOING EASY” you probably can’t guess exactly what we’re talking about, but we’re going to talk about the physical environment and how important it is to creating and establishing habits in our lives. “THE PHYSICAL ENVIRONMENT” isn’t something I’ve ever really thought about before until I took a course at university. One of my few non-science courses, but it blew my mind to start thinking and discussing how our environment affects our lives and it makes sense.

I’ve been in my apartment for four months now and I’ve had nothing for guests to sit on, other than a few uncomfortable kitchen chairs. I’ve had visitors, I’ve hosted a few people for up to a week and invited people over, but I just didn’t have the furniture for it to be comfortable. I could have easily gone out and bought some, but I’m pretty frugal when it comes to stuff (material items), but I’m not very frugal when it comes to other things. If I don’t need it, I’ll think long and hard about whether or not I should buy it. Let’s just say I’m not a huge fan of shopping, but after yesterday that might be changing…

I finally went and bought some furniture yesterday at IKEA and one of my favourite things I did was make a reading corner. This reading corner has one function - READING - and in my Greater Habits Coaching Program we are currently looking at which habits we have that we need to do more of. For me, reading is that habit without a doubt. I’ve made the goal of reading two books this week and that’s an insane goal because prior to last year, I didn’t even read two books in 12 years!

One of the things the book “Atomic Habits” by @james_clear discusses is that you should make it as easy as possible to do good habits and that’s what this corner does for me. (I'm also super into this book that I can't smile I guess, haha)

I’ve made reading a priority in my life because it lets me to connect to the great minds of our world. When I invest in myself, I’m not being frugal anymore - investing in your own growth is too important!

  • Passions vs. Purpose
  • What are your talents?
  • If you don’t know, ask someone!

Invest in Yourself

I’ve spent many years wishing I had the opportunity to learn from the best in the world in different fields. It wasn’t until I started investing in myself that I started getting these opportunities.

A few years ago I spent a week training in Florida with some of North America’s top triathletes and I think about the things I learned during that time and they are worth way more than what it cost me to get there. Moving through Chapter 7 of the book “Make Your Bed” for our Greatness Everyday book study. This week’s chapter was titled “Stand Up to the Bullies” and there was a lot of good advice within in talking about bullies all being the same. The stereotypical “bully” is found in schools, but I think we need to remember that isn’t the only place they exist. They can exist in our workplaces, in politics, waiting in line at an amusement park and in many other places. They wait to see someone they can pounce on and intimidate them. Whether you experience them personally, or you witness someone experiencing them, today, I encourage you to stand up to the bullies that are in your life. Have the courage to do that.

We are halfway done the GE book study as we are moving through the book “Make Your Bed” and I am finding it extremely rewarding. As I read each chapter, I get little chunks of information that I can apply immediately into my life in areas such as productivity, relationships, overcoming obstacles and there’s much more to come! . Chapter 5 was called Failure Can Make You Stronger and that’s a message that I totally believe in. I think of past experiences in my life when things didn’t come easy to me and I had to learn things the hard way and failure has taught me a lot throughout my life. This could be academically in school, during moments in friendships or relationships, or going after a job and many other things. Some people can be easily motivated by failure, but not everybody is, and some people really don’t respond well to it and they shut down.

In the busyness of life, in the pursuit of happiness, contentment, and even greatness it is important to stop and just be happy. I find this an interesting balance for me because it can be easy to keep pushing through everything just wanting to do more and not necessarily be conscious of how happy I am. Sometimes I find myself working so hard to make other people happy that maybe my happiness isn’t my priority. . In these moments, I think that it is important to stop and reflect on your purpose and what you want out of your life. One of the things I enjoy most in my life is exercise. It allows me to get a solid workout in, get a sweat on, and let my mind travel through the maze that it is and come out on the other side in a much better spot.

I’m really enjoying the chapters because they are so practical to our lives, they aren’t long, and once you read the chapter you can start living out the lessons right away! Chapter 2: You Can’t Go It Alone of the “Make Your Bed” book study was an awesome read! The chapter begins with Admiral McRaven discussing his NAVY SEALs training during which he and his fellow “tadpoles” had to carry a rubber boat around everywhere they went. In between training exercises, up hills, down hills, and use it in the water, but the best lesson it taught him was that you can’t do it alone and there are times where you need someone else to help you. . Those people can take on many different roles: husband or wife, friend, family member, coworker, etc. but the important part is to recognize that life is supposed to be lived with people in quality relationships. McRaven is a retired Admiral in the US Navy, who has lived an amazing life and this book was inspired by the people he has met and experiences he has had. In today’s post, I asked people if they had their book yet, because we’re starting a book club. One of my goals at the start of this year was to READ. It has been a long-forgotten hobby of mine that I’ve neglected over the past few years. I used to read a lot for pleasure, but now I read for information, and I want to change that.

E29: CHOOSE HAPPY • Choose Happy. Saturday mornings are a great time of reflection for me. They usually involve a later wake up time, a workout, and a good breakfast, but I tend to move a little slower not having to rush off to work. . This morning I woke up with two things on my mind: 1. I have the opportunity to choose to be happy today, or not. 2. I am looking forward to the day ahead and I’m going to be super productive! . I’m not going to be overwhelmed by the amount of housework I have to do, the amount of work I have to do for “Gratitude Everyday”, or “The How-To Scholar”, or the huge pile of marking I need to do. . I stay focused and upbeat by using something called the “Pomodoro Technique”. It is where you work for 25 minutes, and then take a 5 min break. E28: THANKFUL PEOPLE ARE HAPPY PEOPLE “It is not happy people who are thankful. It is thankful people who are happy.” . I will always remember my grandfather pointing out a gentleman going through the trash in our town, but probably for a reason you wouldn’t expect. This man dressed plainly and drove an old, beat-up truck and he was looking for bottles to recycle for money. My grandfather told me that the man was probably one of the few millionaires in our town and I never anticipated hearing that. He lived a very simple life, despite his wealth and opportunity. I have no clue how happy this guy was, but it struck me that he could essentially do anything he wanted, yet he was rummaging through the smelly trash for 10 cents a bottle. . E27: BE AN ENCOURAGER I don’t know why, but last Friday night I felt like I should send some messages of encouragement to a few people. Some of them I knew, some of them I want to know better, and for some of them it was my first interaction with them. Like I said before, I don’t know why I felt like I needed to do this, but I’m very glad I did. . Some of the responses I got back were “Thank you!”, “I needed to hear that.”, “This has put the biggest smile on my face!” and others. It’s his birthday day and I’m grateful for him because he’s been a strong example of what a man should be and someone that I really look up to.
