Every month, it's the same story: the new month arrives and we ask ourselves, “now what?” We can’t help but feel like there’s a need to do something, to make a change, to be productive. But what if I told you that business success isn’t about the “sexy” new strategies and tactics? It’s about the “boring” stuff.
It’s about planning and pivoting proactively. Business success is about creating a plan and sticking to it. It’s about having the discipline to create systems and routines of planning for the month, planning for the week, and being proactive.
This means setting goals and taking the necessary steps to achieve them. It also means learning how to pivot when the plan isn’t working and always going back to the big picture. It’s about reverse engineering things and constantly checking in to make sure that it’s working.
One way to be proactive is to use the three Ps of productivity: planning, pivoting, and end-of-day routines. Planning helps us to have more control over our income and our calendar. Pivoting allows us to make changes when the plan isn’t working. And end-of-day routines help us to be proactive and not constantly reactive.
In this episode, we give advice on how to plan and pivot in order to be successful in business. We talk about how important planning, creating systems and routines, and reverse engineering are to maintain a six-figure business. We advise against distracting yourself with new tasks and provide tips on how to detox, purify, and manage your calendar.
At the end of the day, it’s all about having the discipline to create systems and routines and sticking to them. The dollars are made when we have routines in place. Business is built in the boring.

The hustle and bustle of life as an entrepreneur can be overwhelming. With multiple businesses, tasks, and responsibilities, it can be difficult to stay organized and on top of everything. In order to maximize productivity and efficiency, it is important to automate processes whenever possible. Automation can help save time and energy, allowing entrepreneurs to focus on the more important aspects of their businesses.
Windy, the Wine Queen, knows all too well the importance of automation. She has multiple businesses, including One Hope Wine, The Dusty Bottle Dry Bar, and Winchester's Wings, a nonprofit animal charity. With so much on her plate, Windy found it difficult to keep track of everything and manage her time effectively. That is until she integrated 17 Hats into her website.
17 Hats is an automated system that allowed Windy to save time and energy. It took the tedious tasks of answering questions and submitting documents off of her plate, allowing her to focus on the more important aspects of her businesses. Windy was also able to color code her calendar, making it easier to stay organized and on top of her tasks.

Greg Cross is a native-born Hoosier (Richmond, IN). He graduated from Delta High School (Muncie, IN). He lives and owns a marketing agency in Indianapolis, Indiana. He received his bachelor’s degree from Ball State University where he majored in Journalism and Communication.
In 2002, Greg took a position as the Director of Business Development for a website marketing firm located in Chicago. He was responsible for bringing on 450+ new clients in his 4 year tenure. In today’s podcast, I’m going to be covering some useful tips and tricks that have helped me cultivate leads and turn them into clients! I know, this can be an intimidating process and often feel like a burden, but if you aren’t constantly looking for new clients, can your business survive?
Be persistent. Be persistent. Be persistent. Always assume a client is a “yes” until you ACTUALLY hear them say “no”. Sometimes it takes time for clients to warm up to your greatness…..but once you have them, you’ll be able to show them how valuable an asset you can be to their business.
My tips for generating more leads in less time:
I know, generating leads can be an arduous process and not everyone is comfortable being a “salesy” person, but there is a difference in being “salesy” and “slimy”. If you follow my simple steps, and incorporate things that work for you, the leads will come without one ounce of slime!

Well, here we are, at the beginning of the holiday season and your “to-do” list as a business owner just keeps growing and growing! In today’s episode I am going to be talking about multi-tasking and how it is stopping you from making more impact and income in your business.
What is multi-tasking? Well, it’s when we perform two or more tasks simultaneously, and switching back and forth from one thing to another in rapid succession with…...SPOILER ALERT……..no real success because we’re focused on too many things at once! Listen, I’m guilty too!
In addition to multi-tasking, context switching is another hurdle we all deal with on a daily basis that can be detrimental to our lives, clients and businesses. Context switching is when we jump back and forth to different types of work (bookkeeping to client work to graphic design) without focusing solely on one thing. This much back-and-forth can impact our short-term memory, lead to increased anxiety, stifle our creative thinking, and ultimately stop us from getting into a “state of flow”.
With multi-tasking impacting productivity by nearly 40% and context switching by nearly 20%, you risk decreasing your daily productivity by close to 60%, what does that equate to for you and your business? SHIFT happens - Daily.

What is a project: an individual or collaborative enterprise that is carefully planned and designed to achieve a particular aim.
Examples of projects:
Anything with lots of moving parts and tasks
So What is project management:
Project management is the way a person organizes and manages resources that are necessary to complete a project. People that manage projects are known as Project Managers. A project is a piece of work that is not a process or an operation. It has a start, an end, and goals
Why do we need project management and Project managers??
We need a tool and/or person to manage all the moving parts of our projects to help us stay on track, be more efficient, and follow through to completion.
There are tools for you to do this on your own like Asana/Trello

So how can you manage projects better on your own
1 - Think Bigger Picture
Does this fit into your business model
Does this fit into long term plans
Do we need to do this now or put it on the backburner for later
We all take on TOO many projects at one time, and we are juggling too many balls.
2 - Planning makes perfect (or as close as possible)
Failing to plan is planning to fail.
You have to see how all the puzzle pieces fit together
You have to map out all parts of the project and create a plan before you just dive in.
Plans WILL shift. But making small changes and deadline updates will be easier than adding in entire tasks that were forgotten or missed.

3 - Use a tool - but it won’t solve all of your problems with a magic wand

You CANNOT keep everything in your head - Things WILL fall through the cracks

4 - Project and Task Management is ALWAYS a moving target
Just when you think things are in place and working well, something throws things off the plan.
Things come up; deadlines change, something was missed int he planning stage, something changed.
The job of a Project manager or project/task management tool is to help you see everything big picture to be able to shift your plans as needed.
New tasks, challenges, and situations will always come up. As a business owner, you are a project manager. Even if you have never thought of yourself as a project manager, you are managing your business, which is comprised on many projects.
Project management is messy—the more projects you take on, the more problems that will come up.

Most people are scared of failing. But I think I was scared of succeeding more than most. Let me tell you my story.
I didn't grow up in a fancy entrepreneur family. No one went to college, and no one had a job paying over $20 an hour
My parents combined made less than $50,000 a year with five kids. I moved out when I was 18 and lived on my own. I worked two jobs to pay for rent and bills while going to school. The last business I worked for I gave my blood sweat and tears toward their success, only to be fired.
I am very grateful for how I was raised, for my parents and my childhood. And I am very grateful for being fired. All of those things made me who I am today.
So after so many low beginnings, why am I scared to succeed? What am I scared of?
I know when I am in a place of growth when my confidence dips, I find myself doing admin projects and I avoid being around people and isolate myself.
2020 has been a time for that. I had a huge legal issue with a client that absolutely killed my confidence. It shouldn't have but I let someone else control how I felt about my work.
I was finally able to get back on my feet and get back to serving people and then COVID hit. So then I just blamed everything on that and fell back to the, well when this is over I will do big things. This is what I mean when I say "being scared of success".
Netflix time, working on the couch, working crazy hours on admin stuff - thats a time of growth that I am hiding from and running away from. When I see myself changing my goals to make them smaller - That's a sign I am scared of success.
Because I know myself and when I have a project plan towards something - I knock tasks out to get it done.
When I create that project plan and I have that vision, do I take on fifteen other tasks that keep me “busy” from that. Because I am being scared of success.
So once you have acknowledged that you are scared of success and know that you are hiding from big things. what do you do?
Reflect on why you are feeling scared - does it connect to anything - what triggers it?
Take time to feel scared and do it anyway

So we all know that 2020 has been interesting to say the least.
Maybe you have continued business as usual or maybe things have come to a screeching halt for you. I am hoping at the time of this recording that some things are getting back to normal. However, how do we stay productive during overwhelming times?
I want to first start off by saying that even though I am the Systems & Productivity Queen (the name others have given me not myself) I have been struggling HARD CORE during these past 4-6 months.
In January I was dealing with a client issue that resulted in a huge legal/financial battle. In February I dealt with a lot of mindset issues around that legal issue thinking that I wasn't good enough to do this business. By March I was finally getting back to a place that I was ready to dive in and get back to business and then the Coronavirus hit and it all went downhill. April came and I was dealing with home school and being home with the kids 24/7 while running a business.
By the time May was here I was tapping out of homeschool and treading water keeping up with business, clients and the house. We finally got back on track in June and back to “somewhat normal”
But during all of that, I was still pretty productive and still made forward momentum towards goals. How did I do it?
Systems that were in place before things got crazy. This is why systems and processes are SO important during times of change.

When things aren't quite feeling right, you may need to pivot to a new business or idea.

Reducing paper in your life tips:
Create one inbox; it's your "intake" it is just a temporary collection point to process.
Have a one day of week where you R.A.F.T. the inbox to stop the drowning in paper.
Read Action File & Trash
Readable piles are magazines, articles, etc.
Action piles maybe bills, invitations, or something that needs a response, or delegate it to someone who needs to deal with it. You can also transfer this to a digital To-Do list.
File piles are for things you need to keep, but first, ask this:
1) Is this relevant?
2) Is this a recent issue?
3) Can I find this information elsewhere (online)?
Trash piles, this may take time. But work through it!
Deal with memorabilia separately, make a separate pile at a different time.

Today's guest is Christy Lingo, host of the "The Cocktails & Containers" podcast. Christy started her business, where she organizes her clients' homes to remove the clutter. She is now starting a coaching business to help Mom's focus on being entrepreneurs while still being a Mom.
Controlling the Control Freak: Christy is trying to let go of her "control freak" and bringing on processes so she can grow her new business. Having these processes will help you hand off these items to a Virtual Assistant (VA). Christy is bringing systems like Loom (desktop video recording app), so you can communicate quickly and efficiently .
Scheduling Text Messages: Christy is scheduling text messages through an app, so she doesn't have to risk forgetting when you have those 2 am thoughts, she can type the text, but it will send the message during business hours. (This is an Android feature)
Top Lesson Shes Learned: You don't know it all. Get a business coach. Christy worked hard and taught herself everything. But she found that having a coach to look objectively at what she was doing was a huge benefit and lesson she learned. Get someone better than you to help you do more!
Let it go! The struggle when to stop tweaking and tweaking notes and emails. Stop and post it. It doesn't have to be 100%. 80% is ok in most cases.
Bonus tip for parents from Christy: Wake up a little earlier. It will change your life!

Starting a business can be exhilarating and fun, but it’s also really hard. So why do we have the tendency to overcomplicate the process and make it even harder? Surely you’ve heard of Marie Kondo by now. If you don’t know who she is, you need to Google her today or find her on Netflix. She is known for her book: The Life-Changing Magic of Tidying Up. I actually like to call myself the Marie Kondo of business. Marie challenges her clients by asking them if a space or item “sparks joy”. If it doesn’t, she says you have to toss it! Likewise, in your business, everything you use should have a purpose and place.

In this episode, I’m getting super honest and vulnerable with you as I share the inside scoop on some huge changes I’ve made in my business recently. Though these shifts were intentional and ultimately beneficial, it was a bumpy road getting there. All these changes taught me a lot-including how not to implement changes, which is why I want to share these lessons with you. I’d like to guide you through some important pieces of the decision-making process so you can avoid jumping from software to software in search of the magic bullet. Spoiler alert: there is none! But I can help you understand why!
I will walk you through the process of transitioning each of the biggest tools I use in my business and most importantly why I knew that it was time to make the shift. It was difficult to make these changes, but it was becoming clear that I had outgrown the functionality of certain tools while others were actually too complex for the needs of my business. My biggest piece of advice when considering what changes to make in your business is to not to go it alone. Ask for input and consider hiring an expert to avoid getting stuck and overwhelmed with a tool you don’t need or isn’t generating profit for you.
Entrepreneurs are always trying to work smarter, not harder, which means it’s only natural to want to find any possible way to automate. But I’m here to tell you, automation is only effective when you have clear processes that have been mapped out and streamlined. Otherwise, things get really messy really fast. If you know what I'm talking about, I hope this is a good reminder to make time to document everything so that the automation truly does save you time!

Steps for Content Repurposing
1.Record a video.
Use snippets from the video to post on social media.
Pull the audio to create a podcast.
Use a transcription service like TEMI to turn the audio into text. Then edit into a blog post.
Create between 1-20 social media posts from the blog post and add graphics.
Save that content into a Trello board to recycle once again!
I’ve been so excited to share another secret weapon on my team with you: marketing strategist and owner of MK Digital Co., Mallory Majcher. Mallory has been the peanut butter to my jelly as I have helped her implement systems so she can continue to grow her agency and move easily into her CEO role. Likewise, she has brought the vision for my brand to life more than once rebranding.
One of Mallory’s biggest hurdles in her business has been learning how to move out of being a freelancer and into being a CEO. On the show today, we dive a little deeper into that journey and what has been critical for her success and flexibility. Today’s Productivity Power Up is a simple one to implement but has the potential to save you a ton of time and energy! The challenge for you today is set up all your bookmarks, apps, and extensions in your preferred browser (Chrome, Safari, etc). By making sure all these tools are saved in your browser, you are able to work from anywhere regardless of the device that you have...or don’t have! No more wasted opportunities to get something done just because you’re not at your desk at home!
When you are selecting which of these to add, make sure you are including only those things that you are utilizing on a daily basis. You can save anything else in a place like Trello to check out later when you have time.
Have you ever heard the quote from Ben Franklin, “For every minute spent organizing, an hour is earned.” ? When it comes to business, this really couldn’t ring more true. There are lots of things we do every day that may only take one minute to accomplish (like finding a digital file or answering an email). But if you could reduce the time you spend doing any of these tasks by 50% because you had a system in place, the extra time can truly add up! If you could invest that saved time in networking or more sales calls, you would see a huge return on that time spent getting organized!
Today I want to share with you a few areas of your business that you can streamline and then reallocate time for revenue-producing activities.
Lead Generation: Having automated systems to collect information from all the sources of all your leads and having a detailed follow up system in place
Sales Process: Importing contacts, having a system for follow up, creating tasks to check-in
Client Onboarding Process: Having automated systems for how you collect important info, use templates, administer questionnaires, set up calls, choosing all-in-one software for exchanging legal documents
Digital Files: Organizing them so they can be found in about 30 seconds
Email: Filtering out things that don’t matter, turning off notifications, decluttering, having a folder system in place
I encourage you to stop looking for the next new “magic bullet” to solve all your business headaches and simply take the time to address the time you spend in the areas I mentioned today. By doing so, you will give yourself more time to do all the things in your business that allow you to make the biggest impact and revenue! You may have heard the acronym before: KPI, but do you know what it stands for or why they are important? KPI stands for Key Performance Indicator and these are important because they are a great tool to track how you’re doing in business and what you’re actually accomplishing over time. These goals are also always super specific to the purpose of your business. The stats on the average amount of emails flooding your inbox are staggering: an average of 126 per day! If you neglect that inbox for even a moment, it’s extremely easy to see how your inbox can get up to the thousands or even hundreds of thousands without good systems in place. But even more importantly, an overflowing inbox can be a huge waste of your time and productivity. So today I am going to share with you my strategies for minimizing your time in your inbox, allowing you to spend more time making a bigger impact in your business.

If your business is growing and scaling, or you are even planning to grow and scale, then you are most likely going to be adding team members to your business. This can be very exciting, and even when you are hiring people you trust, you need to make sure you are putting practices in place to protect yourself in the event you and that other team member ever had to part ways. These are just lessons that you never want to learn the hard way!
Today I'll be sharing with you how you can establish clear expectations with your team members by using contracts and non-disclosure agreements, ways you can protect your passwords, and provide team members with the appropriate level of access to any part of your business from your CRM to your social media. These are all the ways you can be proactive, rather than reactive and maintain a pulse on any part of your business at any time. And it’s never too late to put these systems in place!

You would never set out to find a new specific destination without a map or your GPS, right? The same goes for understanding that you can’t really know how to plan out your day until you plan out your year. In order to maximize the time you spend in your business daily, you need to start by listing out your goals for the year down to the finest details.
Once you have done that, you can reverse engineer the process by identifying all the tasks and action items that will lead you to that goal. Then you can assign due dates to those items so that you are making consistent and specific progress each day when you sit down to work.
