Building Your Agency Systems for Success in 2020
The ways in which you run your agency help you to consistently deliver the best results for your clients.
A system is defined as a set of processes, tools, people, and strategies that all work together to solve a problem or achieve a goal.
Now when it comes to developing these systems it boils down to a series of steps that can be repeated, optimised and repeated. Duplicating the same result, again and again, = a system.
There are 4 basic steps you can take to determine your systems:
- Determine your activities and categorize them
- Break them down into tools, processes, strategies and people
- Outline your systems
- Evaluate and streamline

Do you run a business or are you creating a job for yourself?
There are a few critical things you need to have in place to ensure your SMM agency isn't simply a beautifully branded disguise for a job. What we want to do is ensure you are building a full-blown business.
When it comes to building your agency, it's critical to systematise your business. One that can operate without your constant input.
One super simple way to determine if you have a business or a job is to see what happens if you stepped away for a week, without notice.
- Are your deliverables still met?
- Is content still going out?
- Are clients still paying you?
- Can you still sign new leads?
If your agency can't do any of these when you step away for a week (or more) then you are relying too heavily on yourself to run your agency.
To ensure you can create a business that DOESN'T tie you to your desk, you need to create an organisational structure that supports this.
Ok, so if you do have systems but feel you can streamline them, or if you have none at all...here are the next steps:
- Outline your client flow
- Document your current processes
- Create an outline of your ideal processes
- Implement your ideal processes (see the toolbox)

Six Simple Strategies to Attract Your Dream Clients
β Be specific in your bio & about us
Use this template: "Hi I'm [name] and I help [ideal client] to create/make/do [solution] without [problem]."
β Use social proof
Got great feedback from your clients? SHOW the world. At least once a week you should be utilising positive feedback you've received from clients to attract more. We all read reviews before buying into something.
β Story-telling
Show up and tell your story. Why are you provide the services you do? What has your journey been to get here? Being vulnerable and sharing your story with your ideal clients helps them to get to know, like and trust you.
β Give Value in the DM's
There are two ways to use DM's. The first is the sleazy way - the one we want to avoid! Where you message an ideal client, pitch them with a sale in the first 5 minutes and provide no indication you're wanting to make a real connection or provide value. The second way is the right way. This is where you pop an ideal client a quick message and initiate a genuine conversation. Where you learn more about them, their business and start building a relationship. Offer value, provide some insights. Only a few weeks later should you be sending them any info on your packages!
β Use IG Stories, IGTV and Video Content
The quickest way to get in front of your ideal clients is on video. Gaining exposure is not just about posting on your feed, it's also about showing up and providing value with video.
β Engage with them
Don't just reply to comments or DM's relating to you. Start engaging with THEM. If you want your ideal client to connect with you, you need to be making the first move! You need to "date" your client. Show up, ask them about their business, show interest in their lives and prove you are willing to help them. Stick around, don't just leave them out in the cold. Follow up (but don't be annoying) and give them gifts (value) π» How did another service provider win you over? Apply similar logic.
