What To Do When Your Mailing Campaign Bombs

What do you do when you have a direct mail real estate campaign that bombs?

There are four things that you need to do when your mailing campaign doesn’t go as planned…

The first is to get your head straight

As soon as your competition sends out 10,000 post cards, and don’t get the return, they’re going to run for the hills. They think they have lost their investment. They think the sky is falling. Real estate investing is over. They’re gone. But if you’ve got your head straight, you know that this is a good thing. Because you’re going to be the only person left standing. I used to compete in a lot of triathlons. I used to look at adversity as the best thing. Because I knew the competition would crumble, and I’d be the only person left. So look at it as you’re going to be the only person standing. If you are consistent month after month after month after month you are the only one who is going to survive that up and down market. And mailing is always a 90-day cycle. We’ve seen that time and time and time again.

Two is to have your sales team be accountable for every single mailing campaign

If you don’t have a sales team get one. It is critical. We share information back and forth. I let them know how much we spend on every campaign and how many pieces are going out. They are responsible and accountable to get money out of every single campaign. If it’s not from a wholesale deal, maybe it’s from a referral that we send to a real estate agent. Maybe they don’t get a deal from this campaign, but they dig back in the old campaigns, and scratch and claw, and find a way to turn in revenue every single week. Now you may have been that rabid dog in your own business. You’ve got to learn how to teach other people to be rabid dogs, and to value those leads just like you.

The third thing is to evaluate the actual mailing campaign itself

Evaluate the list. Maybe you need to freshen it up? Maybe you have to buy more highly targeted leads? Maybe you need to tweak that post card. Maybe you have to change the copy on that post card. Whatever you do; understand your numbers like nobody else. How much does it cost you to get a deal in your market? Maybe it’s $2,500. Maybe it’s $12,500. It doesn’t matter. What is the return on the investment? Because as soon as you know that, you can mail, mail, mail and mail. As long as you’re getting that return on investment and you teach your team to maximize every single marketing dollar.

The fourth is understanding that you need to dominate your market

This is from sales trainer Grant Cardone – “you must be light-years ahead of everybody else. You’ve got to be better in every single facet. Are you sending better mail pieces? Are you mailing more consistently? Is your sales team better than everybody else? Do they handle objections with ease? Is that all documented? Are they showing up to your seller’s house with a logo on their shirt? Are they writing handwritten thank you cards? Everything that you’ve got to do to separate yourself, do it! Teach your team to do it. Make it a part of your culture and you’re going to have a seven-figure wholesaling business.

Leadership in Your Wholesale Real Estate Business

Today I was inspired today to talk about leadership in your wholesale real estate business. It’s not just your wholesale business, or your real estate business, or any business for that matter. But, wholesaling is one of my primary businesses, and I absolutely love it.

I was one of those guys who would scratch and claw his way into any kind of deal to make it happen. I remember one day I was looking up at the sky, and looking at my wife, and I’m like, I don’t want to go to work tomorrow. I’m working too hard. It’s 24/7. Our relationship sucked, because you know that’s really all I was thinking about. One day I decided, you know what; I don’t want to do this anymore. I want to be a leader. I want to empower others. I want to have a great business while surrounding myself with the best people.

Case in point; this week we had an amazing week in business. We closed four wholesale deals. One was $25,000, and another one was $22,000. Another one was $17,000. And they have another one today they locked up that’s probably going to be around $32,000. Great money. But, what’s most important to me is that my team did the entire thing. My team set up the mailings. My team answered the phone. My team locked up the deals. My team sold the deals. My team handled the transaction coordination.

One of my favorite quotes is “the trait of a good leader is to hire the best man he can find for the job, and not to interrupt them while doing it. That was one of the hardest things for me to do when I first started. To bring a team around me. I was over their shoulder. “Are you doing this, and are you doing that? I’m not perfect in this area, yet. But Ive gotten a heck of a lot better. And I can tell you that as soon as you do that; as soon as you hire the best men and women, and you let go. And you let them make mistakes. You let them lose some money (yes, I know that’s scary). You’re going to find that they’re going to grow, and flourish, and do things that you never thought possible. The money is great. But, I can tell you that if you are doing it alone; it gets old real fast.

One of my good friends, Evan, always says he likes wining with others. It’s rubbing off. So I hope this has inspired you not to be an employer. Not to be a slave to your business. But to really be that leader that surrounds himself with really, really good people, and stands on the shoulders of giants.

How To Scale Your Real Estate Business Part 6

In this video, I’m going to show you how to control and understand your business by managing by the metrics.

So when you first get started, right, you’re so excited that you’re doing deals, maybe you’re mailing out more postcards and you’ve got more income coming in, you’ve hired a sales person, you’ve hired a telephone person, you got an office manager over here and things are starting to look good, right? You’ve got momentum. The train is moving, chug-a-chug-a-chug-a-chug-a-chug-a-chug. Well, let me tell you; one of the most important things that you have to have in your business is an understanding of the numbers, right? You’re not on top of your sales people all day, kind of hanging out over their shoulder and knowing everything they’re doing. That’s important. You got to let them do their job. But one of the ways that you have to manage is understanding the numbers in your business; basically, the key things that are going on. So I’m going to share with you some things that you really need to understand and it’s going to help you really get an idea, basically, your profitability. So here we go.

The first thing that you need to know is how many calls that you receive from your marketing. This is really, really important to understand your ROI and the response rate you’re getting from each mail piece.

Number two, you have to know how many calls your sales reps are making per day. I have a rule that everyone on our team make 60 calls a day. If 30 calls come in, 30 calls go out in addition to 30 follow up calls.

Three, how many appointments were set for our outside sales team or our acquisition manager. This is really, really important because you want to make sure that the phone screener is sending out the acquisition manager on a certain amount of appointments per day.

Four, you want to know how many offers were accepted and how effective that your acquisition manager is at closing these deals in person.

Metric #5, you want to know how many deals your inside sales team locks up over the telephone.

Six, you got to know the revenue that’s generated by your team by selling these wholesale deals to cash buyers.

Seven, one of the additional ways that we make money in this business and I suggest you do the same is actually referring out your dead leads to real estate agents. One of the things that we negotiate is a 35% commission. So we track how many referrals we send out to real estate agents and you’ll notice that if you track this, you’ll increase your income substantially.

And finally, the last metric that you need to keep track of is; what is your revenue from referrals to real estate agents. So guys, if you keep track of those metrics, you’ll have a great idea of what your business looks like. You’ll understand it inside and out, and be able to really manage your sales team not by emotion but really the profitability of your company.

And they’re driving along and all of a sudden that phone rings and they’re on the phone with the motivated seller. And they’re pulling over; they’re not really sure where they’re going, and they’re looking for a piece of paper to write down that prospect’s information. And guess what, they hang up and either maybe they go lock up that deal or maybe that lead is lost forever, right? They’re running that business like a total amateur. So we have a philosophy in our business, it’s called “no lead left behind. And it’s really, really important to really treat every lead like gold, right. And so the way you do that is by really building your business around a CRM, a Customer Relationship Management program. Now there’s a lot of them out there.

We love one called Highrise HQ and I’ll leave a link below this video. It’s super simple to use but basically it’s a place where you keep track of all your prospects’ information – their name, their phone number, the property address, right, any other question that you want to ask them. But more importantly, it enables you to set dates and reminders to follow up with these people because a very few of the people that you speak to will do business the first time around. And I love, love, love, love to work that database because overtime if you’re creating a real business, you’re going to have a database of motivated sellers that nobody else knows about. The amateurs; they send out some mail, they wait for some calls, they lock some up and guess what, they forget about all the other leads. And I think that’s the worst way to do business. A real business treats every lead that comes in like gold and they use that database, that CRM to follow up relentlessly and no lead ever slips through the cracks.

Scaling Your Wholesale Real Estate Business Part 4

In this video, I’m going to show you how to scale up your marketing so that you can build your business to seven figures.

Alright. So in my opinion, one of the fastest ways to grow your wholesaling business is to commit to a hard core mailing program. And one of the ways I like to do that is just send postcards in the mail every single month. We got a saying in our office – I know we got a lot of sayings – but it’s “mail, mail hard, and when it hurts, mail some more. The more postcards that you send out, right, I would say it’s like an ATM machine, you put your credit card in to order postcards and money literally comes out. Now of course, it takes hard work, right. You got to talk to the motivated sellers and negotiate and go out there but I tell you what, the most postcards that you send out, the more phone calls that you’re going to get. So immediately, I want you to make this decision. No matter how you’re generating leads, right now you must commit, okay, at least 20-30% of your income to scaling up your wholesaling business and sending out more mail. Because if you do that, okay, your business is going to explode. Your acquisition manager, your sales team is not going to know what hit them. All those phone calls are going to be coming in and they’re going to be talking to motivated sellers, screening them, shooting out all kinds of offers and before you know it, you’re going to have like a dozen deals locked up.

So if you’re uncomfortable and you haven’t sent out postcards, start out by sending out 5,000 postcards. And by the way, I actually think it’s less of a risk to send out more postcards than less. Now once you’ve done a deal, you got 5,000 postcards, you do a deal, maybe you’ve made $10,000, take $3,000, boom, put it back in your marketing plan. This time, send out 8,000 to 10,000 postcards, right. You’re going to lock up some deals, money is going to come back, guess what, spend 6,000 on postcards. That’s 18 what, 18,000 postcards, right. Scale up, scale up, scale up, scale up and before you know it, your business will be at that seven-figure level. Now it’s not going to happen overnight, right. It doesn’t happen without some hard work. But guess what, once you got your sales team in place, all your main job is guess what, to generate leads for your sales team and the best way that you can do that is by sending out some postcards. In this video, I’m going to show you how to build your team to scale your wholesaling business to seven figures. Alright, so the first person that you’re going to need to hire when growing your business is an acquisition manager.

This is your right hand man and is the most important hire in your company. This person is going to start the process of acquisition all the way from answering voicemails for motivated sellers, all the way to determining motivation and then meeting up with that motivated seller at their house and locking up that property under a contract. Basically, they’re going to understand the acquisition process all the way from front to back and that’s going to be really, really important because this person is going to run your team down the line to free you up for better things. This is basically the most important—in my opinion, one of the most important positions that you could ever hire for. Now once you have your acquisition manager completely trained, you’re ready to move on to the next hire.

The next person you got to bring on is the telephone screener or the inside sales professional. Now this person is basically an assistant or basically a helper to the acquisition manager because once the acquisition manager is busy with all the marketing that you’re going to be doing, they’re not going to be able to handle all the phone calls, or the follow ups; it’s going to get crazy. So you have to have someone dedicated to just answering the phone and working that phone day after day after day. They’re basically a machine on that telephone. And so all the hot leads they’re going to pass on your acquisition managers that they can go out there and lock up that property. And all the leads that are cold or warm, you can keep those for the call screener to basically decide, “Hey, you know what, I’m going to send this person out an offer or I’m going to send out my acquisition manager to go ahead and lock that property up.

The third hire that you need to make is the office manager/ transaction coordinator and this is the person who’s going to handle everything in your office, right. If you have a physical office, they’re going to handle the mail. They’re going to handle the phone calls from your cash buyers. We have our office manager actually sell our properties for us. If escrow title send over documents, they prepare them for signing for me and for my acquisition manager. They basically handle everything that support acquisition, all the paperwork and also deal with the buyers. It’s a very, very important position because as your volume grows, guess what, so will the paperwork, and you don’t want to be dealing with paperwork because it’s going to bog you down, and confuse you, and fog you and you’re not going to be able to concentrate on the most important thing that you can do and that’s generating leads for your team.

And finally, the last person that you should be hiring is the ARM, this is the Agent Relationship Manager and this is someone who will actually go out to the multiple listing service and go out and meet real estate agents and lock up properties with outside real estate agents. You don’t want to mix the two, in my opinion; private sellers and dealing with agents. But this person you can train into an absolute acquisition machine dealing with pending and property falling in escrow and pocket listings so you got two streams of income coming; one from private sellers and one from dealing with agents. I will tell you, training someone to get properties from real estate agents is an entirely different process than getting from a motivated seller. So the ARM, that’s the fourth part of your core hire. Now you could hire other people but you want to start with those. Hire them in that order and you’ll be well on your way to creating a seven-figure wholesaling business. I’ll see you guys on the next video.

In this video, I’m going to show you how to build systems and processes to scale your wholesaling businesses to seven figures.

One of the most important things that you can do for your business right now is document all your systems and procedures. Now I know what you’re thinking, “Oh, this isn’t sexy. Well, I can tell you that most real estate investors; they run around like a chicken with their head cut off. And when they hire people, they basically hire them as fast as they can, and they throw them in to their business, and they say, “Go lock up deals! Right. “Run my business! And that’s like the quickest way to [sound of falling and exploding] crash and burn in your business.

Systems and processes basically are the core of your business. They are list of everything that happens all the way from sending out a postcard to talking to a motivated seller to locking up that property to selling that property to a cash buyer and everything in between. Some examples are how to talk to let’s say a motivated seller; the actual script that you use and a list of questions, right? When you hire somebody, you don’t have to sit there and train them for 10 weeks, right? You can give them that script and if they leave or if they quit or if they’re not a fit, guess what, you can hire somebody else the next day and train them on that script and now they become a master of that script. Boom, boom, boom, boom. This is how you build a real business.

A second example would be, what contract are we using and maybe a training video and how to fill this out so that if something needs to be done, guess what, people aren’t calling you 24/7 or 10 o’clock at night. They can just refer to a training video that you created. One more example would be a policy. How do we sell a property to a cash buyer and collect that deposit? Maybe there’s a written document that says, “We sell our properties by accepting a $5,000 earnest money deposit that must be sent in by wire or by check the same day the contract is signed. That’s written and now everybody knows that policy and procedure and they won’t go selling a property to somebody without taking an earnest money deposit. The reason why you do this is guess what? So your business can run without you, so that you can live an abundant lifestyle. And I’ll tell you what, as soon as you step out of your business, that’s when your business will take off guys. I know systems and processes aren’t the sexiest part of your business but they’re so, so important especially if you’re one of those people who want to do everything themselves. The first thing that you have to do when building your wholesaling business is hire a team. One of my favorite marketers, Dan Kennedy, used to say, “A business is not a guy in front of a laptop, and that is so true in real estate. You got to help your business grow by helping other people explode their income.

Number two; you’ve got to create processes and systems in your business. You got to document everything from how to talk to a motivated seller to how pay your bookkeeper.

Step 3; you’ve got to commit to a CRM, that’s a Customer Relationship Manager, a place where you can keep track of all your leads.

Step 4; you’ve got to become a marketing machine so that your sales team has people to call every single day.

And finally, Step 5, you have to keep, and manage by the metrics. You’ve got to know exactly what’s going on in your business by the numbers.

So that’s it guys. Those are the five things that you need to do. In the next five videos, I’m going to dig deep in to each one of those points so you can have a full grasp of how to scale your business to seven figures. I’ll see you guys on the next video.

HOW OFTEN SHOULD I MAIL MY LIST?

In this video I’m going to share with you how often you should be mailing your motivated sellers. So I got a great question from Kent Corsini out of Georgia. Kent, thank you so much for sending it in. I’m going to read it to you guys.

It says, “Hey, Todd, a quick question for you. We’re in the process of sending out 30,000 postcards this month and the calls are coming in. I paid $2,500 bucks for the list of high equity individuals from List Source. Do you typically continue sending this to this one list for a few months? Also how long do you typically send to one list before you buy a new one to send to? Thanks for your input. – Kent out of Georgia

My philosophy on this is pretty cut and dry. I hate having a business that’s always trying to shoot a moving target. Sometimes people will mail it once, and they do a certain amount of deals, and they’re like, “Let’s buy a new list and mail to that new list. Well, the reason why you get deals from the first mailing is because a certain segment of that list, had a need to sell their property. They were motivated, and so that’s why they sold their house to you below market value and you served that convenience and made a profit in the process and they were happier, right? Well, anywhere between four and eight weeks from now, an additional segment of those people will be motivated, right? So I like to hit my list every four to eight weeks, with no more than eight weeks passing because I think you’ll lose deals that way.

In addition you are constantly going to be in front of your customer, your name is going to be there. Every time a mail piece comes, you’re going to build credibility, and that’s how you build a real business. Otherwise you’ll be scrambling for deals all the time. That’s when you cultivate a database. People get to know you and they see your mail pieces every single month. So I take that same list and I will mail that entire list for the entire year, for 12 months, every four to eight weeks. My ideal is every six weeks and you’re going to pull deals out of that.

Now once you take a list, and let’s say it’s 30,000 names, and by the way, if you’re like, “Oh my gosh, there’s no way I could mail 30,000 postcards, which is going to cost you around $10,000, although that’s an investment in your business, not an expense, start mailing now, right now. If it’s not at 30,000 postcards, mail at 5,000 post cards. When you do 5, then do 10 because this is going to be revenue coming in to your business and that’s consistent, predictable income for business that will eventually run without you if you’re building it the right way. So once you’ve got that all planned out for the year, then buy some new names, okay. And mail those people every six to eight weeks for the entire year. But I can’t stand when people buy a list and mail it and then buy another list and then mail and then buy another list and then they wonder why they don’t do deals because they’re always trying to hit a moving target. It’s like duck hunt, you know, from the old Nintendo days. So I just dated myself. But I hope that answers your question, Kent.

To summarize, every six to eight weeks hit that list for the entire year, you’ll pull deals out of it every single month and then buy some more names. My philosophy is buy as many names as you can and mail them as often as you can – mail, mail now, mail hard, and when it hurts, mail some more. So Kent, again, thanks again for sending the question. I still remember my first real estate deal like it was yesterday. I had no cash, credit, experience, or real estate knowledge.
