Step one: Be aware. Take in everything around you and focus on the present moment. Pay attention to what you're doing, feeling, and the environment you're in.

Time blocking is essentially blocking periods throughout your day to work specifically on tasks. In essence, you are scheduling your day hour-by-hour. By using this system, you can maximize your day. A benefit to time blocking is that it reduces frustration and stress. A more significant advantage is that you still have time left over to be a real person and enjoy your life beyond work.

I actually tried to follow Tim's instructions and will provide you the results I had. A great take away from this book is that we have been conditioned to be activity focused instead of productivity focus. I believe that is why everyone is focusing on productivity today.
We all storage our data online but just how secure is it. Does Microsoft OneDrive, Google Drive, or DropBox provide better security? That is what we will look at today!
Tip #1 What is Your Most Valuable Asset? What is your most valuable asset? Is it money? Your Family? No, it is not either of these things. Your most valuable asset is your "time." Time is one thing that you cannot get more. You only have 1,440 minutes available to use each day. That is it. You cannot increase the time you have available, so you need to make the most out of it each day. Why use minutes? Because one minute is enough time to complete a task, like respond to an email, complete 30 push-ups, or water a plant.
Once you appreciate how valuable your time is, then you can prioritize it to make those most from each day. You need to determine and prioritize the "Most Important Task" or MIT for short that needs to get done. Now this task needs to be one that will significantly impact your life or work. Prioritization of your Time is a critical step and is essential to your success.
For instance, you are a senior executive that needs to develop a new application. You may determine that your "Most Important Task" is to hire a programmer to write the app. This single task will have the most significant impact on your work goal.
Tip #2. Use a Calendar Instead of a To-do List Do me a favor and pull out your to-do list? How long is it? How many items on your to-do list have been there for weeks or, even worse, months? Does looking at your to-do list just stress you out? Instead of using a to-do list, pull out your calendar instead. This technique will help with your stress levels. Researchers have determined that 41% of what is on your to-do will never get accomplished. Why is this? Most of the items on the list do not contain the length of time needed to complete the task. Time frames are critical as tasks without time frames tend to be ignored and are likely not to be met.
Tip #3. Consider Using Time blocks You may want to consider using time blocks or time boxing. What are time blocks or time boxing? Time blocks or timeboxing is a time management strategy where you schedule a time to complete your goals. You do this by using your calendar to block out the time needed to work on a task or sub-tasks. What happens when you need to schedule a job, and they're just is not room on the calendar? You simply reschedule the task by rearranging your schedule to fit in the new tasking. An example would be that you work out every day at noon but cannot do that due to catching an airplane at noon. You could move the workout to earlier in the day to ensure that it got completed.
Many people, including myself, will reserve blocks of times for tasks. You work diligently for 25 minutes and take a short 5-minute break, then repeat this cycle. Reserving blocks of time helps me make the most out of my day.
Tip #4. Overcome Procrastination We all have experienced the following. We have an important deadline due, and we scroll Facebook, looking at posts, text a friend, or just sit down and catch up on our favorite TV series instead of completing that vital task. I will be honest with you and tell you I did this same thing two weeks ago. I could not get motivated to edit the video that was due to be released on Wednesday. Anyone can overcome procrastination with the right motivation. Have faith and imagine your future self. After all, you don't procrastinate because you are lazy. You just are not sufficiently motivated. When confronted in the future with procrastination, consider asking yourself one of the following two questions. What pleasure will I get from doing this thing? And What pain will I feel if I don't do it? For instance, you want to work out each day but cannot seem to get motivated. Imagine yourself in the future if you do not get on that treadmill. You are sluggish ad have an enormous beer belly. Will that image of yourself, motivated you to complete your exercise?
Tip #5. There is always more to do; You cannot do everything, and that is fine. You may find it more valuable to prioritize and schedule the tasks you want to do than cross off as many completed functions as possible. President George W. Bush knew that there would always be more to do, so instead of trying to do everything, he made it his priority to read tons of books since he found it therapeutic and educational. As a result, he read over 95 titles during his presidency.
Tip #6 Write Down Your Ideas Wouldn't it be ideal if every time you had a great thought or idea that you were able to remember it? As I am getting older, I have noticed that my memory does not remember things, and it used to. Wouldn't it be ideal to be able just to stop and jot down that idea? That is why you should always carry around a notebook and pen with you. That way, you can capture your ideas for later.
Tip 7. Do NOT Check Your Inbox too often. Writing down your thoughts is crucial – as is maintaining control over your schedule, which is where the seventh secret comes into play. It says that you should avoid checking your email too often. Why? Because then you are letting others dictate how you spend your time.,
Continually checking your emails is unproductive. Why? Because the anticipation felt when checking your inbox is comparable to pulling the handle of a slot machine. Often, I have checked my messages, and there's nothing new, but sometimes there is a new message. The unpredictability is addictive and causes me to check my inbox more often. Checking my inbox more often causes me to lose my focus and not complete that one primary task.
A great way to stop yourself from checking your email is by unsubscribing from newsletters using a program like www.unroll.me. Another strategy you can use is called the 321-Zero system. You limit yourself to three email checks per day while trying to get your inbox zero in 21 minutes.
Tip 8. Avoiding Meetings If you have an office job, you know how boring meetings can be. But that is not the only problem with meetings. Managers tend to schedule meetings when an email could have covered what he or she wanted to discuss. Only schedule meetings when necessary. Most people believe that weekly status meetings are a waste of time for two reasons:
A 2015 survey found that 35 percent of respondents considered weekly status meetings to be a waste of time for these two primary reasons:
As a result, participants may not share valuable information during these meetings. If you absolutely must have a meeting, then consider a stand-up meeting instead of a sit-down meeting. Stand-up meetings might seem odd, but making participants stand tends to result in better collaboration, less attachment to ideas, higher engagement levels, and more effective problem-solving.
Lastly, consider scheduling meetings based on increments of five or ten minutes. Limiting your meeting timeframes will stop others from wasting your time.
Tip 9. Learn to Say NO Learn to say no. Saying no to someone is a challenging technique to learn, but you will thank me later. After all, every time you say yes to something, you must say no to something else. Learning to no will cause you to be happier and have more energy once you learn this technique.
Tip 10. Pareto Principle or 80/20 Rule So far, you have learned that it is necessary to limit the time to the tasks that will significantly impact achieving your goals. In the 1890s, the Italian philosopher and economist Vilfredo Pareto found that 20% of the pea plants in his garden produced 80% of his healthy pea pods. He created this 80/20 rule into a general principle that now bears his name. This versatile rule can apply to many areas.
For instance, by applying the 80/20 rule to your employees, you might decide to fire most of your salespeople since they are your lowest performers. From there, you could focus your energy on the remaining 20%, when you already generate 80% of your sales, by giving them rewards and greater levels of support. The result will lead to an overall improvement in sales.
You could apply the 80/20 rule in your personal life by analyzing the tasks you do every week and identifying which of them has the most significant impact.
Tip 11. Leveraging your skills and delegating work. You can also accomplish more by critically assessing your outstanding tasks. By slowing down and training yourself and your employees to ask a few questions, you can identify critical tasks that freed up an extra eight hours per week. How do you do this? You simply ask yourself, "How important is this task to the company?"
Tip12. Delegate the Tasks If Possible. When reviewing the tasks, always ask yourself, "Is there anyone else who can complete it?" And finally, "How could this task be accomplished if I had half as much time?" You might find that some of the tasks that your employees are doing are unnecessary and result in eliminating the task. Another advantage is discovering that you have the wrong person completing the task. It might be better to have the job sent to someone else who is better suited for the task.
Tip 13. Group Your Work into Recurring Themes. Do you ever have difficulty focusing on work? You are not alone; most people do. You may want to consider having them for each day. For instance, on Mondays, you focus on Management; Wednesdays, you are dedicated to marking; and on Sundays, you can reflect, provide feedback and strategize for the next week.
Tip 14. Tackling Small Tasks. You can also boost your efficiency by tackling small tasks. How? By immediately tackling small tasks that take fewer than five. Minutes to complete and avoid returning to the same job over and over. Or if you receive an email, instead of remembering to reach back out, he scheduled to book an appointment time to call the person instead.
Tip 15. Establish a morning routine. Dedicating the first hour of each day to a morning routine will enhance your health and your mind. There is nothing like getting up in the morning and working out, then whipping together a high-protein breakfast to get your day off to a great start.
Many successful entrepreneurs start their day by meditating or exercising to set the mood for the day, to keep their minds positive. They will not watch the news or listen to anything negative to keep their minds focused on being positive.

When selecting the best note-taking app, there are two clear winners: Microsoft OneNote and Evernote. As with all apps, each has its pluses and minuses. If you are looking for a free app, then look no further than OneNote. It comes with Window 10 and is available as a free standalone product. Evernote has a different structure that makes it easier to organize, tag, find and share information, as long as you are willing to pay for the app. OneNote and Evernote are available for desktop and mobile devices, and of course, you can access both through a web browser. But each app also has some distinct differences. Whether you will prefer OneNote or Evernote depends on how you use it and what value you want in an app.
There are a ton of note-taking apps available today. Evernote has been along since the beginning and is the King of the Note-taking apps. BUT can Joplin beat Evernote?
There are a ton of note-taking apps available today. Evernote has been along since the beginning and is the King of the Note-taking apps. BUT can Joplin beat Evernote?
Note-Taking used to be simple. You pick up a piece of paper and a pen and start writing. Thanks to Charles Babbage, who invented the computer, we now have many choices for taking notes. We can use the old fashion way of pen and paper or use applications on our phones, tablets, or computers.
Furthermore, there are tons of note-taking apps available to us today. For instance, Microsoft OneNote, Apple Notes, Evernote, Google Keep, Simplenote, Notion, and Joplin. And these are not all of them, as there are tons more. With so many applications within our reach, it is hard to know which app is right for you.
Joplin is a free open-source application for handling your note taking and to-do lists. The developer does not charge for using the application but does accept donations. The application helps you write and organize your notes and synchronize them between your devices. In fact, the notes are searchable, can be copied, tagged, and modified from within the application or using your own text editor. Joplin uses the Markdown format the same as Notion. Joplin can be downloaded on a desktop, mobile and terminal application.

I interviewed Doug Miller with Brightworks Group. Doug provides IT Cloud Computing Solutions to small businesses. The services that his company provides can meet CMMC Level 3 certification.
Let’s face the fact that running a small business is hard. If it were easy, then everyone would be doing it. Between administration, marketing, chasing leads, taking care of clients, managing your social media, and thousands of other activities that demand your time, there is hardly any time left to actually do whatever it is you started your business to do!
Your schedule as a small business owner is always going to be busy. The best that you can do is to make sure your time is well-managed, so you can pack as much productivity into the time you have as possible.
Here are a few of my favorite time management tips for small business owners.
Have a Set Schedule and Stick To it. Tip 1 The worst thing you can do is to come into the office without a clearly defined set of goals and tasks to be accomplished that day. This disorganization leads to inefficiency and wasted time. It would be best if you organized your time based on your current priorities. It does not matter if you have to break down your schedule by the hour or use a bullet list. It would be best if you had your priorities outlined for the day.
Outline your days based upon when you are most productive. I have found that I am most productive in the mornings. So, I schedule the heavy lifting in the mornings and the less taxing items for the afternoon. I also have discovered the Mondays are my most productive day of the week. I tend to get more accomplished on Mondays than other days of the week. Use this information about yourself to your advantage.
No Multitasking Tip 2 Multitasking seems like a smart way to save time; however, it is more likely doing more harm than good. Focusing on one task at a time increases productivity and performance. After all, you cannot respond to that new email while developing your yearly budget. So, please don’t do it!! Remember that your mind needs time to focus on the task at hand truly. Every time you switch tasks, it takes your mind to get into the new groove of that task.
Delegate Tip 3 Hire people that you can trust and give them the work that. You do not have time to do. This allows you to focus your time on tasks you are better at and those that mean the most to you. If you are a one-person show, consider offering college credits to interns or outsourcing to freelance contractors.
Rest Time – Tip 4 Your mind needs time to decompress. Taking a break can actually save you time and results in greater productivity, without taking a break. You are guaranteeing yourself exhaustion and ultimately get less accomplished. This is extremely useful when you are stuck and do not seem to be making any progress. By taking a break, the solution to your problem may pop into your head!
Organize Your Space – Tip 5 A cluttered office or desk makes it more difficult to work effectively, making for wasted time. When your physical space is organized, it leads to an organized mental space. Color code folders designating incoming and outgoing piles and similar tactics to help you find what you need when you need it. Keeping your desk free of trash and clutter also helps maintain a balanced head-space to enhance your productivity.
Identify & Eliminate Things You Spend Wasting Time On. Let’s face the fact that everyone has something or somethings that takes you away from doing more productive things. This could be browsing social media, watching YouTube videos, or surfing the Internet. Whatever it is, you need to identify them and try to cut them out of your day. Consider keeping a diary whenever you do something; you write it down to help you do this.
The 80/20 Rule In the 80-20 rule, you prioritize the 20% of factors that will produce the best results. The 80-20 rule principle is to identify an entity's best assets and use them efficiently to create maximum value. Why do I bring this up? At some point, you need to determine what is actually important and what requires your attention. You want to spend most of your time on that critical 20% and less on the rest, even if it does seem urgent.
Set a Timer I have found that if I set a timer for a specific period of time, say 25 minutes, and then focus on a single task until the alarm goes off. Then, I set the timer for 5 minutes and take a short break before devoting 25 minutes to another task. This method is beneficial to those who have trouble focusing, structuring their time, or making sure you are devoting a certain amount of time to a single task.
Balance Your Time Tip 9 If you are dissatisfied with your time management skills, you may have a problem called “lack of balance.” You spend too much time online, networking, putting out fires, or actively managing your employees. Yes, these tasks are necessary, but too much focus on any one means the other will fall by the wayside, and as a result, your time management suffers.
Automate Tip 10 The more that you can automate, the more time you will have for other things. For instance, handling your bill and accounts receivable is one of the most important jobs in your schedule, but it's also tedious and hardly quick. But by automating your billing with a subscription service, you can free up time for other things like marketing, strategizing, product development, or maybe taking a vacation.
Summary If you are just getting started on your time management journey, you may want to consider the 10 tips discussed above. But remember that we still only have 24 hours in a day and there are more important things in life than work. It would be best if you found a balance. Too many small businesses believe that they must work 24 hours a day, seven days a week. That is not the case if you can find ways to manage your time better. Time management aims not to create more time for work but to manage the tasks that absolutely must get done today and still allow us to spend quality time with the family.
Let’s face the fact that being productive as a small business owner is as important when you work for yourself as it is challenging. After all, there is no one else to keep you on track or pick up the slack if you fall behind. It is up to you to get everything done, and it is not just about getting the work done. It is about getting the work done well. There are stumbling blocks, distractions, inefficiencies that keep you from doing your best work. Here are five common productivity traps you can fall into as an entrepreneur and how to avoid them.

Search Engine Optimization or SEO (#SEO) for short is essential to draw in clients to your business. During the interview with Tanner Scott of Ranksey Digital Marketing, the following topics were discussed: backlinks (#backlinks) one-page websites, blogs, digital content (#digitalcontent), social media posts, what SEO (#WhatisSEO) is. Just to name a few.
Wrap rates can be confusing as it goes by many different names: wrap rates, fully burden rate, fully loaded rate, and billing rate. What exactly is included in your wrap rate? That is what the video is about. Your wrap rate is made up of Indirect Costs which are also known as burden(s). Burdens are support costs like fringe benefits, overhead and general and administrative costs (G&A). Fee(s) are your profit. A wrap rate is what you bill your customer to recover the cost of the employee pay, plus fringe benefits plus an amount for overhead, plus G&A costs, and profit.
Analyzing the definition of key terms often provides more insight into concepts. Overhead can be defined as activities supporting the production process that are not direct costs, or direct labor. As an entrepreneur, it is essential to know why overhead costs impact your small business. I first start by defining overhead then go into examples. What costs are included in overhead? A definition of fixed costs, variable costs, and semi-variable (mixed) costs are also included. It is important to note that the more fixed costs you have, the less profit you will have. Also discussed is how to compute your overhead rate.
This week’s discussion is on “Have Gov’t Contractors Been Impacted by Pandemic”. In order to make this determination I can reports through USASpending.gov. The results were surprising. In fact, two set-aside actually saw an increase in contracting dollars when compared to just a year ago. Now, I could have used the FPDS database to obtain the numbers for this episode, but I find it too cumbersome when compared to USASpending. Besides, the information is the same no matter which system you use. Depending on the set-aside used government contractors saw a 11.54% decrease to a 24% increase! The biggest winner were small businesses with a 24% increase. 8(a) contractors saw the largest decrease of 11.54%. HUBZone contractors saw an 11.03% decrease as well. The service-disabled veteran-owned small businesses saw an increase of 1%. This number really surprised me. Last but not least Women-Owned Small businesses (including Economically Disadvantaged women-owned small businesses) saw a 2.5% decrease.
I am continuing our cost accounting (#costaccounting) series today by explaining the difference between fixed and variable expenses. Throughout the video, I will be using the following terms interchangeably and they are costs and expenses. (#VariableCosts.) Variable costs change based on the number of items produced or the number of services provided. If your production goes up 20% then your variable expenses (cost) goes up by 20%. If your production goes down by 30% then your variable costs will go down by the same percentage.
Your fixed expenses stay the same. They do not change no matter how many products or services are provided. They are fixed, hence the name fixed costs. #FixedCosts #FixedExpenses
Why do you need to know the difference between fixed expenses and variable expenses? Well, the more fixed cost a company has the more revenue the company needs to produce to break even.
Do you want to know the Top MISTAKE Gov't Contractors Make? Well, that is what I will be talking about today as well as a few strategies to help. Let's face it government contracting #Government Contracting is not easy. If it was then everyone would be doing it. As a government contractor, (#governmentcontracting) you need to be better than the rest if you want to stand out. Bidding on government contracts can no longer just be the lowest price as the government is moving to the lowest price technically acceptable. Small businesses need to have a strategy in place to achieve their goals. What strategy (#strategy) should you use? Well, that is up to you. I will talk about three strategies today. The first is Cost Leadership Strategy, the second is Differentiation Strategy and the third is Focus Strategy. #Entrepreneur. #SmallBusiness #GovernmentContracting

Some time ago, I read an article by Deltek regarding Government Contracting Industry Study. I will put a link to the article in the description for you to refer too. Now as a disclaimer, Deltek is not sponsoring this video nor am I affiliated with them. Frankly, I enjoy reading their articles. They put out a lot of great articles on the government contracting industry. If you have not subscribed to them, you may want to consider doing so. Although this article is almost a year old, I believe that the report is still spot-on for the government contracting industry. Especially, after the downturn in the economy. Nothing this year is going to be business as usual. I believe that the Government will have a ton of solicitations that they want to post but will not have time to do so. As a result, this year is going to be an off year for government contractors. We can see this in the chart which I will put up on screen. Government contract spending has been reduced for the last three months. As you can see the last three months the number of contracts award is down significantly compared to the same months in 2019. I expect this to continue for the rest of this fiscal year. Even though the states are slowly lifting the restrictions, the government does not have the manpower to get six months of solicitations out on the street, proposals reviewed, and contract awards made. Especially, when everyone knows that the Government spends most of their contracting dollars in the last quarter of the fiscal year which is July through September. Now let’s get into the article because it does have useful information for government contractors.
In the report, Deltek has identified essential trends, challenges, and benchmarks.
The first Trend is Increased Growth and Competition for businesses Government contracting has always been a great way for businesses to increase their market share. We can expect that trend to continue at least for the couple of years. Now in the Deltek report it states that the procurement spending will continue to grow and is an excellent opportunity for businesses. Specifically, if they utilize profit-maximizing strategies. I believe that you will see an increase in businesses entering the government marketplace due to the economy. It will take a few years for the economy to turn around. With thousands of businesses seeking ways to stay afloat, you can bet that they will turn to government contracting. We saw this in 2008 and 2009 when the last recession hit. As a result, there will be more competition than ever before competing against fewer contracts. That means that in order to be successful a company needs to have a great strategy in place.
The Second Trend is Businesses will Seek New Customers & Agencies. As competition increases, and less opportunities available to bid on, companies must seek new agencies and customers. This is truer today than it was just a year ago. Government Contractors seeking new customers will be exposed to new and unfamiliar contracting vehicles. These new vehicles will make it difficult to identify when the government will be releasing new contracts. Especially, if these small businesses are wanting to find the best teaming partner in order to capitalize on these contracts. Remember that your strategy is going to influence the contracts that you go after.
There are three things that businesses must do to be successful besides finding the right strategy.
The Third Trend is finding Qualified Talent and Retaining Top Performers Before the downturn in the economy, it was challenging to find, hire, and retain high performing talent. Now it may or may not be the same depending on the industry in which your business operates. Open employee positions have been a challenge to many small businesses. This might be a good opportunity to find those high performing employees to fill those key positions. You need to be able to adapt to current conditions. For instance, teleworking is something that is not going away and will be used by more and more businesses. It will be the new norm. So, make sure you have the resources in place in order to allow for teleworking. Teleworking can be a nightmare for a small business. How to you protect your assets? How do you ensure that employees are productive? How do you manage employee’s workflow? How do you improve the employee experience with new technology, continuous performance management and top of the line career development programs? These are things that must be addressed now not later.
The fourth Trend is Cybersecurity Concerns Unfortunately, Cybersecurity is not going away anytime soon. We can expect to see an increase in malicious software, and hackers. This means that businesses need to be consistently updating their systems
Businesses seeking DoD Contracts will need to ensure that their IT systems can meet the new Cybersecurity Maturity Model Certification (CMMC). Meeting the new CMMC will be more complicated for those businesses who have transferred their business functions to the cloud. Some companies report a 37% increase in cybersecurity incidents compared to the year before. Government contractors are being introduced to new compliance standards, increasing costs, and regulatory burdens.
Compliance cost for Contracting Purchasing System Review (CPSR) Audits are rising. As more CPSR audits are taking place, this is putting a high cost on the government contractors. Many contractors are stating that it is moderately or more costly to meet the compliance requirements. With increased costs, we can expect to see increased pricing on contracts. We all know that the government prefers to buy at the lowest cost possible. There must be a balance between the government requirements and the costs that must be absorbed by businesses. Sooner or later these costs are going to result in higher costs to the government.
Summary It will be interesting to see which companies continue to perform government contracts in the future. The compliance requirements may be too costly for many small businesses forcing them to go to other agencies or even move into the commercial marketplace. Ultimately, giving up on government contracting. These costs are not only limited to government contracts but grants also. Many small businesses get a start in the Small Business Innovation Research or Small Business Technology Transfer programs which are funded through grants. These programs also are experiencing the same regulatory burdens as the contracting side.
The increased regulations almost always have a negative impact on business. They result in increased costs which must be passed on to the consumer. The result is higher prices. As DoD gets ready to implement the Cybersecurity Maturity Model Certification while also increasing audits due to the Contracting System Purchasing Review, it will have an impact on some businesses. Yes, the businesses that it will impact will be micro businesses. However, any business that is forced out of a market not due to a competitive nature but due to increased compliance requirements is not right. There must be a balance. I find this especially interesting since five years ago the push was to reduce government burdens yet here we see the government increasing regulations. We all know that this is a cost to do government contracting. But for many businesses wanting to get into government contracting it can be difficult to overcome.
I have seen many businesses that haphazardly make the decision to go into government contracting. What do I mean by haphazardly? Well, they don’t have a strategy. They have not performed any research for the industry that they are in. They have not performed a SWOT analysis on the competition and basically, they have not performed their due diligence.
Ten years ago, you could go into government contracting without a plan. That is not the case today. More than ever you need to have a strategy in place.
