Q: What would you tell someone who is about to walk in your shoes?
A: I’m grateful for this question as I’ve been getting more event planners who have reached out to me wanting support, insight and encouragement. I’d say to any planner looking to support thought leaders and small business owners in the way that we do at B Carroll Events, I’d say to keep the why front of mind. This work isn’t the sexy side of this industry. We literally choose strategy over the Instagramable snap shot that you see the majority sharing… and it’s worth it for us. We believe in the mission of our clients and we want to see more transformation come through change makers creating spaces and people getting in the room.

Q: How far in advance should you start planning for each: conference, workshop, retreat, summit?
A: If you can, you want to give yourself as much time as possible to plan your event as a portion of that planning effort includes promotion. One year is typically the timeframe that gives you a good amount of runway, however if can be done in 6 months or less. I’d recommend less time for those who have an established audience and are confident they can get their desired number of attendees. If you aren’t as established, utilize the time to find options that best accommodate your budget & your experience, ramp up your marketing efforts and register the right audience.

Q:WHERE DO YOU START? I want to host events in the future, but I have no idea about what the most important first move would be. I know there are a lot of working parts to bring it together. Whenever I think about hosting an event, I think about setting the ticket price first so that my expenses are covered, and I make a profit. But that's not possible without first getting all the elements planned first. (Venue, Speakers, etc.)
A: Yay! You are on the right track. I always recommend starting with CARE. This is our framework to help you get a clear vision of your event and set actionable goals. The next step is to use these goals to take a strategy forward approach in creating a budget and event outline. With a little research and your favorite means of organizing your thoughts (mind map, list, vision board, etc.), you’ll have a foundation that informs your next right step..

A: Congrats on this beautiful vision! The ultimate answer to this will depend on the experience you want to curate. Start by deciding if you want to host an event stateside or internationally. Also look into retreat centers! Top locations to host retreats are Costa Rica, California, Indonesia, Spain, Mexico, Arizona, Florida and more unassuming places like Texas, North Carolina, New York or Ireland. My good friend Carmen Ohling hosts wellness retreats masterfully and is a great person in the space to connect with and learn form.

Q: Where do I get a person to decorate my event?
A: Great question! Finding vendors can take a little research, but knowing what to look for is half the battle. I typically don’t like the title of “decorator” because that could mean a lot of different things. I’d recommend getting more specific and looking for vendors like balloon artists, florists, rental companies, designers and customization specialists who can do the detailed work you are looking for. Also, let google and references be your friend. Look at reviews and ask other professionals about the vendor you may be looking for.

Q: How do I collaborate with other thought leaders to create an impactful summit?
A: It depends on your strategy! Most coaches, authors and speakers see events that have a star studded line up of thought leaders who are creating a jam packed event experience. What you may not be considering is why? Is this event strategy based on attracting large numbers of attendees through a pooling of influence where the benefit is a shared attendee contact list? Is the host able to shine in their thought leadership or are they more of an emcee that navigates the conversation and is benefiting from receiving credibility through association? Are you trying to host an enrollment event so that you can invite attendees to invest in your program or service? Each strategy would need a different approach for collaboration. The measure of your impact is based on your strategy and the outcome you are aiming for. Generally speaking, we’d recommend that you establish your event goals (using the CARE Method), outline your event, think about who would be aligned with your event and send formal pitches asking fellow thought leaders to participate with your event.

Q: I just decided that my big vision of my coaching biz is hosting mastermind retreats. I am in the very beginning of my coaching journey. I would love to know how to hold that vision and work towards that goal while at the very beginning of your business journey. A: I love this question because it’s great to start with the end in mind! When you are just starting out I always suggest starting where you are. Are you clients located in the same region? Could you host a one day mini retreat to test the waters? Another huge way to get perspective is to connect with coaches who are doing something similar and even seek out opportunities to invest personally in a mastermind retreat. Listening to their lessons learned and experiencing it for yourself will help you hold this vision and keep you excited as you work towards it!

A: My take on grit is found in the experiences of my life. From not feeling smart enough to be an engineer and leaning on a community to make it through, to choosing to not listen to voices that said I wasn’t enough as I pursued dance. Even as a military spouse, grit is a part of our day to day lives as we continue to be flexible in life and business. A: The pest practice for securing speakers is to determine what type of speakers are needed at your event (if any) and the topics you’d like covered. Next I’d recommend creating a formal pitch that breaks down all the key event details and inviting your biz bestie and speakers beyond your network to participate. One of my favorite methods for pitching comes from the IRON Agency, which starts with an initial professional email and follow up messages.

Careful Consideration - What is your money story? Make a list of what comes up as it relates to money. This may be fears that are event specific or even personal experiences with money. Count the cost before you begin. A budget is a powerful tool to bring clarity and understanding.
Assess the Foundation - What are your preconceived notions? We need to pull up the mental weeds that are choking out your desire to do an event. Knowing your numbers will help give you a solid foundation to build your event upon.
Reinforce the Structure - What can you implement to alleviate your stress or fear? We mentioned a budget to start with. Other tools include utilizing a brag binder to reference your receipts of sales and milestones you’ve accomplished. Building in a 10-20% contingency factor is a must do for every event.
Engage + Trust - Decision time! Are you ready to move beyond your money fears? If so, this is your phase to take the actions you need to take and trust yourself and the process you’ve walked through.

Careful Consideration - Brain dump your vision for your event. Address the elephant in the room by thinking of the worst things that could happen and ask a series of “then what” or “why” questions. Addressing your thoughts and emotions will help pinpoint your pain points.
Assess the Foundation - What do you know to be true or what examples are in your mind that reinforce your fear? The reframe tool you want to use here is by asking “But is that true?”. Fact check your fear.

Don’t be one sided about your partnerships. Let’s get into the mindset of creating mutually beneficial relationships that are advantageous to BOTH parties. We sometimes want sponsors to offset the budget or gift our attendees. Still we need to think through how we can support one another as you definitely have something that other brands want. Here are some considerations to having thoughtful partnerships:
Create a list of benefits that the potential brand(s) will get out of partnering with you. Do you know their priorities?
Research what potential partners are doing, interested in and what may be coming next for them.
What is your ask or need? Ensure that the partnership is a great yes for you and is aligned.
Create an agreement or contract that outlines the benefits for both sides and the responsibilities for both parties.

Who loves test driving a new vehicle?! We want to try all the features, check out the space, enjoy the interior and feel the ride. Think about test driving your event in this same way. Today, we are challenging you to utilize a beta experience so that you can collect data on your event without the pressure of having to do it again. Here are some areas to track:
Start with a goal of breaking even so you can start understanding event costs and later do it at scale.
Gage who shows up and if they are your ideal attendees. Gage the support you will need, volunteers and team needed to repeat this process.
Did you like doing the event at all? If not, determine why and what type of experience might be more aligned.
Start looking at the launch data for your messaging, open rates, email conversions, etc.
