Day three of vacation. Somewhere warm. You've been trying to take this trip for years — the install schedule finally cleared, the timing was right.
You glance at your phone. Voicemail from Maya, your lead designer. Client sitting in front of her, complex kitchen remodel, and she can't remember how you handle the markup on a custom range hood. You call her back and walk her through it. She says she'll write it down.
An hour later: different question via text. Then another. By dinner you've sent seven responses.
You are on vacation. The business is not.
Twenty-some years of context, judgment calls, and shortcuts are stored in exactly one place: your head. How you price a custom hood. How you handle the vendor when an order comes in wrong. The words that keep a difficult client calm when the timeline slips. The software workaround that saves twenty minutes on a spec sheet. None of it written down. It transfers by proximity — by watching you long enough, or by calling you when nobody in the showroom has the answer.
You didn't build a business. You built a high-paying job you can never leave.
In this episode, we walk through the talk-through SOP: how to get the knowledge out of your head and into a system — without sitting down to write a single word.

It's 6:05 PM. You're still at your desk. The showroom closed over an hour ago. Your team left. You have not left.
You're not exactly working. Twelve browser tabs open. An email started this morning, minimized at the bottom of the screen. A text you've read three times and haven't answered. A sticky note from last week you can no longer fully decipher.
Every time you try to stand up, something else surfaces. Did you confirm the Garcias' install date? What was that vendor thing you were going to follow up on? You had a thought in the car this morning — what was it?
So you sit there.
You're not stuck because you're inefficient. You're stuck because your brain doesn't trust the system to hold what's still open. There's no place where the unfinished things live — so your brain is holding all of them, at once, on an internal loop. Because if it stops, something gets dropped.
In this episode, we walk through the end-of-day brain dump: the three-minute recording that gives your brain permission to stop holding everything — and gets you out the door.

It's the fifth time this week you've explained inset versus overlay.
Different client each time. Same question. Same explanation — rebuilt from scratch each time, on whatever energy you have at that moment in the day. Sometimes you use the door analogy and it clicks immediately. Sometimes you're running late and the abbreviated version gets a nod that isn't actually understanding.
This morning it's the Garcias. Site call at noon. You sketch it out on the back of a spec sheet. She nods. He nods.
You can tell from the way they're nodding that they don't quite have it.
Here's what's also true: your best version of that explanation — the one where the analogy really lands — you gave that one Tuesday afternoon to a different couple. Nobody was recording. It's gone.
Every new client starts from zero. Inset, overlay, semi-custom, framed versus frameless — these terms are native to you and completely foreign to them. The quality of the explanation varies by the day, your energy, and how much time you have. None of it the same twice.
In this episode, we walk through the recorded glossary: how to capture your best thinking once and let it do the work every time after that.

Install day. 8:31 AM. Your phone buzzes.
Your client has been texting since the crew arrived at seven — excited updates, a photo of the gutted kitchen, a thumbs-up emoji. But this one is different.
"Something looks off with the upper left corner. The doors look crooked? Is this normal? Should I be worried?"
It's an overlay door before hinge adjustment. It always looks like that at this stage. You've seen it a hundred times. Completely normal.
You type the explanation. Send. Three minutes later: "Okay but the gap on the right side looks bigger than the left? I'm trying not to panic but I'm panicking a little."
Your client has never watched a kitchen installation before. She has no frame of reference for what "in progress" looks like — the open face frames, the doors that aren't flush, the hardware still in a bag on the floor. All of it looks unfinished. Because it is. That's what midway through looks like.
Fielding each worry as it arrives doesn't fix the anxiety. It trains the client that texting you produces immediate attention. You'll spend the entire install day managing panic instead of anything else.
In this episode, we walk through the Messy Middle message: the one text sent the night before that keeps your phone in your pocket all day.

She's been your client for four months. You sat across from her twice, walked the job site together, talked through every detail — including the corner cabinet situation, which she brought up many times because it mattered to her. You understood why.
Your business is growing. You've brought on a project manager. You hand her the file folder, do the thirty-minute overview, and she meets Mrs. Peterson on Tuesday.
Wednesday morning, your phone rings.
"Does your new person know about the corner? I explained the whole thing again yesterday. I couldn't tell if she really got it. I don't want to keep repeating myself."
Your PM knew there was a corner cabinet situation. She didn't know about the mother's kitchen with the lazy susan that collected dust for fifteen years. She didn't know the specific thing Mrs. Peterson wanted instead, or the way she said it that told you this wasn't a design preference. It was a twenty-year frustration finally getting fixed.
What you handed your PM wasn't a relationship. It was a file folder. And file folders don't carry context.
In this episode, we walk through the living project record — how to transfer a client relationship so your team walks in having heard the client, not just heard about her.

It's 11:30 on a Friday. You're heading to lunch. Your phone rings.
It's your installer. He's on-site, not happy, and he has news: the light rail is missing. Gone through the boxes, checked the garage — not there. He can't finish the uppers without it. Can you come out?
You make the drive. Forty minutes, two school zones, a construction detour. You walk through the front door, past your installer, and look at the pile of boxes stacked in the corner.
There it is. Light rail. On top of the pile. Sticker facing up.
Your installer did not look at the pile. He looked near the pile.
You just spent eighty minutes of your Friday finding a stick instead of having lunch.
This is not a one-time thing. It's a pattern. And the reason it keeps happening isn't that your installers are careless — it's that when the delivery arrived, nobody created a record. No narration, no documentation of where each item landed. So when the installer says the light rail isn't there, you have no way to know from your desk whether he's right or whether it's under the filler strips. So you go.
In this episode, we walk through the narrated delivery: the three-minute habit at receiving that ends the missing-part drive forever.

They sit down across from you on a Wednesday afternoon. Nice couple. Genuinely excited. You go through everything — they love it. And then, right as you're wrapping up, the husband leans forward.
"So — if we sign today, how fast can we move? We're thinking Thanksgiving."
You glance at the calendar on your desk. October 15th.
This isn't the first time you've heard this question. The renovation shows your clients watch make a real construction timeline invisible — demo to reveal in under an hour, manufacturing lead time apparently nonexistent. What they absorbed without realizing it is that twelve weeks is slow. If you're good enough, it would be faster.
You have two choices. Say "fourteen weeks minimum" and become the obstacle standing between them and their dream kitchen. Or be the person who explains why the wait is evidence of quality — and who documented that explanation in a way that holds up six weeks from now when they've forgotten the conversation happened.
Because without the recording, they will forget. They'll remember Thanksgiving.
In this episode, we walk through the anchor recording: the one conversation in week one that protects the entire project timeline before the excitement takes over.

Six weeks ago, you did everything right. Contract signed, deposit cleared, order placed. Somewhere in a factory in the Midwest, cabinet boxes are being built to the exact specs you and your client spent four months finalizing.
You know that. The factory knows that.
Your client does not. Or more accurately — they know it in their head. But in their gut, all they have is silence. And silence, after the largest purchase they've made in years, feels a lot like abandonment.
The texts started around week three. "Any updates?" "Just checking in!" "Should we have heard something by now?" Each one friendly. Each one carrying the same unspoken question: did you take our money and disappear?
In your world, silence is the sound of things going right. In their world, it's a twelve-week void — sitting in the kitchen they hate, staring at walls they're about to replace, with nothing to do but imagine what might be going wrong.
In this episode, we walk through automated empathy: how to use the intake transcript to build personalized touch-point messages that keep clients confident through the wait — without writing a single one from scratch.

The meeting went great. New construction, open concept, mixed materials. Navy island, warm wood tones, and very specific hardware: long, linear, brushed nickel pulls. Not round. They mentioned the round knobs three separate times in a way that made it clear they had feelings about it.
You walked them out feeling genuinely good about this one. Then you went to the back office to hand it off.
Twenty minutes. You covered the layout, the finishes, the lead times. Hardware: "Brushed nickel pulls. Long, linear. Specific aesthetic." And you moved on.
Three weeks later the order comes through for review.
Amerock round knobs. Oil-rubbed bronze.
Nobody made this mistake on purpose. But every time information passes from one person to another, it degrades. You knew exactly what the clients meant. By the time you summarized it, some of the texture was gone. By the time your PM ordered from your summary, more was gone. By the time it reached the supplier — bronze and round.
The issue isn't that your process is broken. It's that you became the filter. And when you're the filter, you're also the bottleneck, the single point of failure, and the person stuck in every handoff to keep information intact.
In this episode, we talk about raw data transfer — and what changes when your team hears the client's actual words instead of your summary of them.

The cabinets are in. Two days, clean crew, timeline held. The finished kitchen looks genuinely, really good.
You're standing in the doorway when the client walks in.
They go quiet. They look around. And then they turn to you with an expression you weren't expecting.
"Where's the crown? I thought these went all the way to the ceiling."
You pull out the contract. Line seven: Standard Crown. Their signature, right there, same day they chose the door style and the finish.
But what they're looking at isn't a contract. It's the kitchen they imagined for six months. And in that kitchen — the one that lived in their head through fourteen weeks of delivery wait — the cabinets went to the ceiling.
Your client isn't being difficult. They're experiencing the imagination gap. Clients sign documents, but they buy visions. The six-inch reveal above the crown didn't register on the day they signed. They saw the kitchen. Not the spec sheet.
A contract the client signed without fully absorbing a detail is the beginning of a conflict — not the end of one. And the cost of that conflict is almost always yours.
In this episode, we walk through the audio-visual lock: the three-minute recorded walkthrough that closes the gap between imagination and reality before installation day.

Monday morning. Coffee hasn't hit yet.
You open your laptop and see the email. Subject line: "problem." Body: all caps. Your client — the one whose installation had a trucking delay that was absolutely, categorically not your fault — is furious. They want to know why you "dropped the ball." They want to know why they shouldn't dispute the charge with their credit card company.
Their entire premise is wrong. You were professional. You were proactive. You sent the update the moment you had it.
Your fingers move to the keyboard.
"Per my last email—"
Stop.
"Not wrong" and "right move" are two different things. An email written from that place almost always makes things worse — even if you use AI to help write it. It signals you're rattled. It escalates. It turns a furious client into a difficult one, and occasionally a difficult client into a litigious one.
In this episode, we walk through the two-step system that lets you respond with proof, professionalism, and zero defensiveness — before that coffee even kicks in.

It's 10:47 on a Tuesday morning. Your phone rings.
The Hendersons are on-site with their electrician right now. They need to know immediately: the garbage disposal — did you spec the switch mounted on the backsplash, or the air button built into the countertop?
You talked about this. Three, four months ago. There was a whole conversation about counter holes and keeping the backsplash clean. A preference was clearly expressed.
The Hendersons are still on the phone. The electrician is standing there with his tools out. The meter is running.
You put them on hold and start digging.
What's happening isn't a memory miss. It's a retrieval failure. The information exists — buried in a notebook, an email thread, a mental note that held for about four days before something else took its place. The problem isn't that you weren't paying attention. The problem is that paper doesn't have a search bar.
In this episode, we talk about what it looks like when every conversation becomes a searchable archive — and you give the answer while the electrician is still standing there.

You're back from the job site. Three weeks later.
You pull out the notebook. You wrote these notes yourself — you can picture standing in the kitchen, measuring tape in hand, scribbling as fast as you could.
And now you're staring at: "38¼… fridge wall… check w GC… ??? corner" — with an arrow pointing at something. You're not sure what the arrow is pointing at. There were three corners. The 38¼ was probably the run between the refrigerator and the window. Probably.
You could call the client. But that means admitting you don't know.
Handwritten notes weren't designed to be a project archive. They were designed to be a short-term memory jogger. Three weeks later, the thing you already knew is gone — and the shorthand doesn't point anywhere anymore.
The real cost isn't the hour you'll spend reconstructing the measure. It's the call that tells the client, without saying it, that you weren't as on top of this as they thought you were.
In this episode, we walk through the fix: narrating your site measure in full sentences, in your own voice, while you're still in the room.

The meeting was three months ago. You went through the budget line by line. When the double oven came up, you explained — carefully, kindly — that it wasn't in the numbers. They nodded. You moved on.
Three months later they're back. Arms crossed. Voice tight.
"We ordered the double oven. You said it was included."
You didn't say that. You would remember if you said that. But they are so completely certain that for just a moment, you start to wonder if maybe you did.
Here's the thing: they're not lying. Memory isn't a recording — it's a reconstruction. Every time we retrieve a memory, we rebuild it slightly. Over months, on a project this significant, a client can completely rewrite a budget conversation in their own mind and have no idea it happened.
Without documentation, you're not dealing with a dishonest client. You're dealing with two sincerely held versions of the truth — and the one who pays for the ambiguity is always the dealer.
In this episode, we walk through how a neutral witness protects both of you — without creating conflict.

Your tires hit the driveway at 6:15. Dinner is on. Your family lights up — you're home early, and that almost never happens anymore.
You sit down at the table. You ask how everyone's day was. You listen.
But in the background you're replaying the conversation with Mrs. Jones. Did you sound too harsh when you pushed back on the timeline? Was it the backsplash tile that was backordered, or the hardware? You should have written that down.
It's probably fine.
Your family keeps talking. You nod in the right places. But you're not at dinner. You're still at the office — just in a different building.
Your brain isn't doing this to punish you. It's trying to help. There's a psychological principle — the Zeigarnik effect — that explains why unfinished tasks stay active in working memory until they're resolved or recorded. Your brain is looping Mrs. Jones because it knows the information isn't safe yet. If you relax, it might be gone by morning. So it won't let you relax.
In this episode, we walk through the two-minute end-of-day ritual that finally gives your brain permission to stop.

You spent 20 hours on a design. You drove to the house, measured every wall, every window, every weird bump where the plumbing stack cuts into the cabinet run. You built the design, sourced the materials, put together a full presentation.
They loved it. They thanked you. They shook your hand.
Then they took your plans to a big box store to buy cheaper cabinets using your layout.
You found out from the supplier.
The problem isn't that the client was dishonest. The problem is that your expertise was invisible. They saw someone with a measuring tape and a laptop. They didn't see the decade of experience, the 47 silent decisions, the questions you filed mentally for the GC before you got back to your car. To them, you drew some boxes. And drawing some boxes is free.
In this episode, we talk about how to make your expertise impossible to take for free — starting at the intake meeting.

A couple walks into your showroom on a Tuesday afternoon. Six months of Pinterest. A vision. The husband points to the center of the floor and says: "We want a massive ten-foot island. Like that one."
And the version of you that needs this sale puts your head down and starts writing.
You don't catch the wife's voice getting slightly quieter. You don't hear the word "tight" she used to describe their current kitchen. You're too busy writing down what they asked for to hear what they're telling you.
That's the moment you stopped being a consultant and became a stenographer. And a stenographer can't close a design sale.
In a design consultation, what people say and what they need are almost never the same. They're describing a feeling, not a floor plan. The only way to catch the difference is to look up — and you can't do that when you're transcribing.
In this episode, we walk through heads-up selling: what changes when the recording handles the notes and your full attention goes back to the room.

You're on the job site. Sawdust and drywall. Across from you is a contractor with thirty years of grit under his fingernails — and he's looking at your plans like he's had this argument before and won.
"We never talked about moving that plumbing. That's gonna cost extra."
You think you talked about it. You're almost certain. But he's so completely sure of himself that for just a moment, you wonder if you imagined it.
So you fold. You eat the cost. Because you can't prove him wrong.
That's not a contractor problem. That's a proof problem. Without a record, the version of events that sticks is always the one told with the most confidence — and confidence is a lot easier to fake than a transcript.
In this episode, we walk through the instant replay: the calm, no-argument move that lets you turn the screen and let the facts speak for themselves.

It's Sunday night. You're at the dinner table. Your pocket buzzes.
You already know before you look.
You text back immediately — full response, problem solved. Not because you wanted to. Not because it was urgent. Because somewhere underneath that response was a fear you probably didn't even recognize: if I don't answer right now, they'll think I don't care.
That's not dedication. That's insecurity-driven availability.
You're not replying because you know everything is handled. You're replying because the only proof you have that nothing was missed lives in your head — and your head has been a little unreliable lately. The Sunday text isn't a client problem. It's a confidence problem. And you can't confidence your way out of it by answering faster.
In this episode, we name the Yes Addiction — and show you what searchable confidence actually looks like.

It's 2:14 in the morning. The house is quiet. And you are wide awake — not because of a noise, but because of a question that won't let you go.
Did I order the sink base for the Johnson job?
You've been doing this for 30 years. But right now, without proof, you feel like a complete amateur.
That's not anxiety. That's not age. That's a system that was never designed to hold this much data.
A custom kitchen has 400–600 individual decisions in it. You've been using your brain as the only backup — and lying awake at 2 AM terrified one of the drawers is stuck. In this episode, we break down why that happens and the simple recording habit that finally lets you sleep.

That's where Season 8 starts.
Twenty-six episodes for owners of kitchen and bath design businesses who are running everything out of their heads — and are done paying the price for it. The knowledge, the systems, the client history, the vendor relationships — all of it living in one place: someone's head. And every time anyone takes a vacation, quits, or a client swears you said something you didn't, you feel exactly how fragile that is.
One habit changes it. Recording your work — and letting AI do something useful with it.

There's so much noise about AI right now, it's like trying to have a conversation in a construction zone. While the industry is abuzz about AI for design visualization and renderings – which has its place – the real game-changer is happening on the business side. Yet that's exactly where there seems to be the most resistance and confusion.

In this episode we’re tackling one of most consequential software decisions in your business – your architecture design tools. This isn't about comparing feature lists or debating which platform is "best." We’ll look at how one cabinet dealer discovered that sticking with familiar software was costing them opportunities they didn't even know existed.

Likely you’ve heard the saying: We are what we consistently do. I find this to be annoyingly accurate. Consistency is required to build a business, lose weight, create a brand, get better at singing, gain trust and… to have a podcast
I’ve been using email since 1995. That’s almost 30 years. The first form of email was created in 1971. That’s older than me and the modern internet. The world has had a lot of time to get used to using email and it is essentially the default communication method of business.
Unless you’ve been hiding under a rock, you’ve likely heard about the myth of multitasking (that we don’t really do it, we just task switch) and that there are real “costs” to switching tasks as it takes our brains awhile to get back in the groove after we’ve been distracted by something else. One of the biggest threats to our attention and ability to focus is notifications.
Problem: There are nearly limitless choices for creating systems and the technology, software and apps you can use to power them. And, those choices and technology are rapidly advancing and changing, especially with the introduction of AI.

We'll discuss the problem you’re probably currently experiencing of never having enough time, the purpose of batching, the possibilities it creates, the process of implementing it, and the payoff you'll experience if you implement it.

Welcome to Leverage Your Spark, the podcast that helps entrepreneurs and business leaders amplify their time, energy and impact. Doesn’t it seem like there are a million options out there for apps to use? I’ve heard from business owners and organizations that the number of software subscriptions they have seem out of control and hard to track. I get that, I’ve had to do an “audit” myself of the apps we’re paying for and figure out if we even actually use them.
In this episode, we're discussing the final step to Discovering the Metrics that Matter: Surfacing the information to the organization. If you've been following along in the last four episodes, we’ve broken down the first four steps of clarifying the metrics you actually care about. It starts with step 1, having a clear, specific goal with a timeline. Why start there? Go check out Episode 3 for all the details.
In this episode we’re digging into how to Step 4 of Measuring the Metrics that Matter: how to track data for those metrics.
So far in clarifying the metrics you actually care about you’ve outlined your goals and clearly defined when they are done.
In this episode we are covering step 3, which is making a list of leading indicators for that goal. That is, what actions are taken in pursuit of getting it "done"?
In the last episode we covered how to start setting some mile markers so you can more easily see where and how you are making progress, decoded KPIs and laid out step 1 of finding metrics that matter, and that was to set goals.
Now on to Step 2: defining the finish line for each goal. That is, determine how you will know when it is "done." I know, this seems glaringly obvious, but it is the place where most people get hung up on trying to measure outcomes - we don't know what “done” is.
When working on operational improvements, and business optimization, it really helps to set yourself some biomarkers so you can more easily see where and how you are making progress in business lingo. These are called KPIs, which stands for key performance indicators.
Google Analytics four, or GA four, as is also referred to, this is the latest version of Google's free service that enables you to track what users are doing on your website, or in your app.
The short answer is that Google Analytics 4 is Google's free service to gather data on how users are interacting with digital properties, most often used on a website or in an app. Basically, it's used to track what people are doing on your website or in your app.
By now pretty much everyone has heard of marketing automation, but marketing operations isn’t quite as well known. In this episode of Leverage Your Spark we’ll decode how Marketing Operations is different from Marketing Automation.
Comedy isn’t the only place where timing really matters. Knowing when to add expertise or capacity is one of the trickiest parts of leading teams. Let’s decode the timing of hiring a marketing ops agency for you in this episode of Leverage Your Spark.
Hiring is one of those areas of business that seems straightforward… but then anyone who’s tried to do it will tell you it is anything but. Let’s get you the goods on how to hire a marketing ops agency so you can quickly & easily get the right one when the time comes.
Because Marketing Operations is a new and still evolving concept, we find organizations and marketing teams have questions about it. In this episode of Leverage Your Spark we’re doing a Marketing Ops FAQ.
Scale, what a very popular business buzzword! But what does it mean, and how does a marketing ops team factor into it? Well, that's what we're discussing in this episode of Leverage Your Spark.
Isn't it awesome when you get a new tool and it makes your life so much easier? Yay! Well, what if you could experience that feeling more often? In this episode of Leverage Your Spark, we're talking about how to use a marketing operations team to expand the marketing automation and technology toolkits you already have.
Most marketing teams are reaping the benefits of marketing automation. Sometimes, though, it breaks. Let's talk about how to use a marketing operations team to fix broken tech and keep your marketing automation running.
We've talked quite a bit this season about marketing operations, what it is, why you need it, when you need it, and what you might be doing instead. But now it's time to address the elephant in the room. Why wouldn't you use marketing operations? Find out in this episode of Leverage Your Spark.
Marketing operations is not a silver bullet, it can't fix every problem in an organization. But there are some things for which it is just what the doctor ordered. What are those? Well, let's talk about it in today's episode of Leverage Your Spark.
Hiring more team can seem like a great way to solve a skill or capacity gap. And that can be true. But sometimes it's not. So let's talk more about this in today's episode of Leverage Your Spark.
So you've hired a marketing agency and, well, don’t they take care of marketing operations too? Let's find out, in this episode of Leverage Your Spark.
No business today can effectively run without technology. That’s why IT teams are a part of nearly every organization. But, does having an IT Team mean you don’t need a Marketing Operations team?
📊Grab the Quick & Dirty Guide to Google Analytics 4 Setup at https://fieryfx.com/ga4 📊
Marketing operations is a recently coined term, and because this grouping of functions is new, there's lots of alternatives to a formal marketing operations team. Today we're going to talk more about developers, specifically web developers and their role as an alternative to a marketing operations team.
Sorting roles out in a team can be difficult, and knowing which people go in the right roles is an additional challenge. In this episode we’re continuing the conversation about other alternatives to marketing operations teams and examining the alternative of using a virtual assistant.
We've talked a lot about Marketing Operations this season, what it is, when you might use it and how you would know if you need it. In the next few episodes we're going to talk about alternatives to marketing operations. Let’s get into what you might be doing instead…
It’s no secret that I love a good tip, trick & hack. Listen in for a tasty one that will help when delegating and working with external teams.
The good news & bad news about building websites today is there are a lot of choices when it comes to web builders and platforms. Listen on to this episode for insights on how others have been challenged by this and how you can choose the website builder that best fits your organization.
Modern organizations typically find themselves with a leader of Operations, usually a Chief Operating Officer and a leader of Marketing either a Vice President of Marketing or Chief Marketing Officer. And that's great, except there seems to be a growing gap between the two roles as technology & marketing evolve. Listen into this episode to find out what challenges that gap presents and how you might best bridge the gap before someone falls into the void.
It's easy to believe we don't need the “big fancy things” when we're just a scrappy little team or business trying to get off the ground. Listen on to find out who actually needs marketing operations.
If you've listened to the podcast, you know I love shortcuts, hacks, tips and tricks. In this episode I'm sharing one that is extremely effective, but it’s probably the unsexiest shortcut on the planet. Embracing this will change almost everything for your team. Don't be afraid. I promise it'll be less painful than you think.
Metrics are a critical part of a marketing team's ability to be proactive, understand what's working and what's not working and adjust accordingly. Sadly, spending time, expertise and resources in pursuit of metrics sinks to the bottom of the priority list until someone else in the organization needs it.
No marketing team is perfect and without challenges. In this episode, we’re talking specifically about common symptoms that are clear indicators that you are lacking marketing operations.
Looking for leverage? Need to go faster, further with less? That is why organizations need Marketing Operations. Wonder if this might be you? Listen on to this episode to find out.
Can we kill the word excellence? Please? Warning, the podcast episode you are about to listen to is a bit of a rant. As FieryFX has embraced our positioning as a marketing operations agency, every time I'm engaged with some sort of content about operations, it's using this word excellence.
Part of my reaction to this word is likely a hangover from corporate and that it's overused in situations where a large company is doing a disservice to its employees. All that comes to mind when I hear the word at this point is Mr. Burns drumming his fingers together and muttering “excellent” and I just want to kill it.
I’ve run my own business for 10 years and in that time we’ve always been a Marketing Operations company, I just didn’t realize it. Join me on a little journey through my experience in the evolution of this new sector of marketing to give you some insights on how we got here and the expert scoop on how your organization can benefit from embracing it.
Do you also get that FOMO feeling when you hear a term you’re unfamiliar with? Well, don’t fear missing out on Marketing Operations because in this episode of Leverage Your Spark I’ll reveal why you may not have heard of this yet.
Welcome to Season 3 of Leverage Your Spark! In this first episode we’re answering a very fundamental question for modern marketing teams: What is Marketing Operations? You may not be familiar with this term, you might have heard it used, but if you are in marketing, I’d bet you’ll get crystal clear really fast on Marketing Ops as you listen to the episode.
Leverage Your Spark is a podcast that delivers quick & easy to digest knowledge bombs for CMO’s and other marketing leaders who need the most out of available resources to execute big growth. Each 5 minute episode delivers insights and simple steps to take to improve the leverage available to you and do more (more effectively) with less.
This season covers the foundations of Marketing Operations, from definition and scope to the symptoms of teams that need this function. We also highlight alternatives to a Marketing Ops team you might be using to get by and answer frequently asked questions on the topic.
Breakups are hard, and can be even harder if you've left clothes in the closet, toiletries in the bathroom and your favorite mug in the kitchen cabinet. In this episode of Leverage Your Spark, let's talk about how to use technology, tools and processes so parting ways is easier and no one has to awkwardly ask for their favorite sweater back.
All good things must come to an end, and parting can be such sweet sorrow. However you put it, when working with experts and external agencies, whether the experience was great or terrible, nothing lasts forever. In this episode of Leverage Your Spark you’ll hear two stories of parting ways with clients.
In life and in business, there often isn’t a happily ever after. People change roles, companies evolve, get bought, go out of business and experts get fired.
In this episode we’re tackling the uncomfortable topic of the unexpected end to a client-expert relationship.
You hired the right expert, they were a great fit, they did the work you needed and now the project is done… so, what now? That’s what we’re chewing over in this episode of Leverage Your Spark.
Unnecessary meetings and excessive emails are personally offensive to me, because efficiency and effectiveness are two of my top values. Listen in to this episode of Leverage Your Spark to learn how to avoid pointless emails & meetings and my tip that will have your colleagues thanking you.
Transformation is hard, uncomfortable and sometimes in the middle of the journey, we aren’t sure we still want to end up in the destination we set out for. It’s even more challenging if we’ve hired someone to help us.
It’s story time in this episode of Leverage Your Spark, and it’s a tale of a pet-focused brand with big aspirations.
In the last episode, we discussed how to avoid hiring an expert steamroller. You know, somebody who comes in, hijacks the project and leaves you with something you didn't even want in the first place. In this episode, we're going to talk about the other side of the relationship, when the client steamrolls the expert.
Sometimes when we hire expert help, we don’t end up getting what we wanted, and are left with something we don't even know what to do with. This is fairly obvious when the expert is a personal stylist, or decorator (anyone remember the straw wall on Trading Spaces?) There are many ways things get derailed, but listen in to this episode of Leverage Your Spark to learn how to avoid the most common reason.
If you've ever wondered how to engage with someone to solve a problem, you're not alone. Even with websites it can be really unclear if you need a designer, developer, SEO expert, or something else entirely. Let's help clear that up and get you started improving how you work with experts in this episode of Leverage Your Spark.
There are a few things in my industry that I get really fired up about. Near the top of that list is a sneaky little question that clients get asked all the time. And it's actually a hallmark of an amateur. The question is…
Do you like it?
Listen on to this episode of Leverage Your Spark, to find out why you should run if your expert is asking you this question.
If you've ever wanted to hire help, but didn't know exactly what to ask for, or what you needed, you only really knew that you needed something, then this episode of Leverage Your Spark is for you.
Isn’t it great when things ARE as advertised? When you get the value from something you invested in. It is an incredible feeling.
To get that feeling every time you work with an expert, listen to this episode of Leverage Your Spark and learn how to prep your organization to best work with an expert so you can more reliably get the value you expect.
The road to hell is paved with good intentions, or so the saying goes. In my experience, so is the efforts of the wrong expert hired to help your organization. Listen to this episode of Leverage Your Spark to learn how to avoid hiring the wrong expert.
When trying to make a decision, my son’s go-to tie-breaker is eenie-meenie-minee-mo. While that can work for 8-year-old decisions like what Otter Pop flavor to have, in this episode of Leverage Your Spark let’s talk about better ways to decide which experts to hire in your business.
Often the most effective “tricks” are the simplest ones. In this episode of Leverage Your Spark we’re breaking down one of the most basic, and most transformative business “hacks” I’ve found - the scorecard.
Ever had that feeling of terror when you are about to drop some serious cash on something you have no guarantee will work out? If so, then this episode of Leverage Your Spark is for you.
I've come to believe that in both business and life, there's never a perfect time for anything. Gonna get married? Never a perfect time (I think couples planning weddings last year really feel this) Gonna have a baby? Never perfect time - sometimes it happens when you’ve been fired and just started a new business. It's cute that we tried to plan that. Gonna move, quit your job, get a new job, start a business, never a perfect time. I think it's the same with hiring an expert. There's never a perfect time to hire an expert but you can prepare and be ready and look for the signs that having an external agency or expert will get you where you want to go faster.
Finding yourself in the situation of needing help is pretty common. And sometimes when we get into that situation, we can figure out what the next steps are. And sometimes, we just start overthinking, or panic, and in most of these cases experts can help. It becomes a matter of finding the right one. However, there are some cases when you don't want to hire an expert.
It seems like it never fails. Most of us go looking for help too late. And if this is you, you're not alone. I think this is due to a few reasons. One, when things are not our area of expertise, we grossly underestimate how much time it will take. Check out episode 1 to learn more about this (it’s called the Dunning Kruger effect). But also, we tend to be overly optimistic about timelines or we're just too darn busy and don't allow enough time or don't have enough time to adequately plan.
But with a few changes, you can be better equipped to know when to hire an expert.
If you’ve worked in a corporate organization and had the pleasure (misfortune) of implementing a new software, you might know that the consultants usually cost more than the software itself the first year.
There’s a good reason for this. The best software is absolutely worthless unless it is being used well and in alignment with processes and goals of the organization.
And what does this have to do with working with experts? Listen on to find out in this episode of Leverage Your Spark.
I don’t know about you, but when I’m thinking about change, it helps my brain to see how other people have done it.
For example, we changed project management software at the beginning of the year. This can be nerve-wracking, but our team was pretty confident moving to Clickup because we watched a video of how someone else in a similar business had set it up and was using it inside their business. Seeing it done helped us know we could do it too.
So far this season we’ve discussed the reasons why you hire an expert. Specifically episode 1 was about hiring an expert because you don't know what you don't know, and episode 2 was about when you know things so well that you're overlooking all the holes that everyone else is gonna fall into. But, what about why NOT to hire an expert?
Have you ever done that annoying exercise where you have to instruct someone else how to make a peanut butter & jelly sandwich? It’s a reliable way to frustrate people. Okay, so that’s not the actual point of the exercise. But you already know the point of the experiment here - no one successfully communicates to the other person all the necessary information to successfully complete a seemingly simple action.
Marketing is the art & science of attracting people to buy our stuff. Seems pretty straightforward on the surface, but anyone that’s tried will tell you it is not that simple in practice.
When you are part of a growing company - ( and “growing” always means marketing needs to get turned WAY up), it’s just not possible to do everything yourself. More often than not, the teams tasked with spearheading growth don’t even have enough capacity to handle all the must-do tasks, nevermind putting together a strategic plan to guide the work or explore new channels and tactics.
Hiring experts and getting the results you want can be a challenge. There are lots of reasons we need expertise - to accelerate knowledge, to show us what we don’t know, or just to get something handled (Personally, I’m so grateful I could hire someone to replace a failed air conditioning unit). But we’ve also worked with experts where things didn’t go well. More clearly understanding HOW to navigate hiring & working with experts is the secret to avoiding a bad experience (and we’ve all had one), and getting what you want in the time you need it.
If you haven’t heard, Clubhouse is the newest social media darling to burst onto the scene. And it's causing a lot of business owners heartburn. Should they be on it? How to use it? What to do with it because it is different. And at the same time Facebook, the old standard, seems to be a hot dumpster fire mess. So, what do you do?
Let's work through the FOMO and fan the flames of the latest unrest in social media in this episode of Leverage Your Spark.
May Day, May Day - the Core Web Vitals are coming…
Here’s the news: On May 1, 2021, Google will start factoring in Core Web Vitals as part of how Google decides what pages show up wherein search results.
And as my friend, Stacey might say - “those are all words and all English, but I don’t know what you are saying.”
We’re going to translate & demystify Core Web Vitals in this episode of Leverage Your Spark
The idea of paying for leads is a hard one to swallow when you start a business, but once you have some cash flow seems an easy way to acquire new customers. But only if you can turn those eyeballs into email addresses and those email addresses into money in your bank account.
In this episode I’ll reveal two Google Analytics reports I implore you to look at before you start spending money on ads.
Growing a business is nerve-racking, anxiety-inducing, and stressful. In my experience, we entrepreneurs have a knack for making it even more anxiety-inducing and stressful than it needs to be. And about the time that we are “in it” we are reaching for anything that looks like a life preserver to help us feel like we can keep swimming.
In this episode of Leverage Your Spark we’re going to talk about the lifeboat called data.
Growth is messy. It just is. As much as we (and I’m clearly projecting here) want to make it planned, predictable and an exponential curve up & to the right, that isn’t reality.
There are many quotable insights from history’s greatest military minds on the value of planning and the fact that it doesn’t hold up as soon as battle starts - Churchill, Eisenhower, Patton. But the one that really sums it up for me is credited to Mike Tyson: “Everyone has a plan until they get punched in the face.”
So let’s talk about what we can do to get back up again in this episode of Leverage Your Spark.
Not sure where to even start with Google Analytics? There’s a lot of information in there, but it’s not really clear what matters and what’s important for your business.
Let’s dig into this, and why you might not want to climb this mountain all by yourself in this episode of Leverage Your Spark.
We business owners have plenty of ideas. I don’t know about you, but I can’t even stand in line at a coffee shop without having thoughts about improvements that could be made to the experience. I think that’s just the nature of the entrepreneurial brain (maybe it’s just me)? So why in tarnation do businesses hire metrics consultants? Who needs more ideas about metrics - we have plenty of ideas, what we need is to have them implemented. Right? Or maybe not… We’ll “talk amongst ourselves” on the topic in this episode of Leverage Your Spark
Do you sprint to the mailbox and excitedly tear open your retirement account statement when it arrives every quarter? No?
What about regularly checking in on the status of your other assets - equity in your home, real estate holdings? Still no? You’re not alone, most of us don’t. But why?
Doesn’t it seem like we’d be really interested and motivated to know how to get even more value out of our existing assets? What’s that you say? That sounds boring and you’d rather get back to your Brigerton binge. Hmmm… okay. I get it, shiny and exciting feels better than challenging and long-term. Aren’t humans weird? Let’s dig into this behavior and website reports in this episode of Leverage Your Spark.
I recently did a training for a group of business owners on Tiny Tech Hacks. It’s a training that shares my framework for making tech decisions and my absolute “must have” tech tools. During the Q&A one of the ladies in the group asked me about tech trends. It was a great question, but not because I had trends I wanted to share. Afterwards she thanked me and said she got a lot of value out of my answer, but it certainly wasn’t the one she expected.
Anyone remember having to paw through vast filing cabinets to find documents or information when you needed it? Specifically I can remember doing this for tax returns and at the library for some college assignments. When I asked my dad why he has decades worth of records in the storage space above the garage, he cited the one time my aunt needed proof of employment and she was able to crawl up there and retrieve the document she needed. So, they are there, just in case.
Fortunately, nothing like that is required anymore to retrieve information we need. There’s technology for that. So let’s discuss how you use it to harness the power of the data in your business.
I clearly remember a sign on an executive’s desk in a tiny 12 person company I worked for. It said “ Nothing happens until someone sells something.” Obviously he was a sales exec, but there was definitely truth in the statement. The same kind of statement is true about data: Nothing better happens until you use your data.
I know very few people get as fired up about this as I do, but that’s only because I have first hand experience on how it can transform businesses. So prepare to get all hot and bothered by data in this episode of Leverage Your Spark.
I know RuPaul was talking about models when he said “You Better Work!” but really, he should have been talking about data. I know lots of businesses that have gone to the effort to collect data, but then fail to use it. That’s like taking the time to get the hair & makeup done, getting in the outfit and then not walking the runway. In this episode you are getting an earful about making your data work for you!
I guess this episode might have been more appropriately titled: Why you should give a crap about this stuff that you don’t think you care about.
On the surface, no one sees just how sexy data is from your website. It's so much easier to talk about design, fancy effects, and what you “like” rather than what the business goals are and what needs to happen to get those results.
Data makes us accountable to what we want and how the website can help us get that. That’s why it is sexy and so important that you use it. Don’t believe me yet? Listen in on this episode to be convinced why you give a crap about your website data.
If you run a business, I think it is a MUST to have a Biz BFF. If you’re new to the term, a Biz BFF is a friend that cares more about your business than your feelings. So they’re incredibly valuable to have in your support system. And, I think, essential for growing a business.
I’m beyond thrilled to have my Biz BFF Stacey Harris as my first guest. Stacey is founder and CEO of Uncommonly More, a digital marketing agency focused on podcast strategy and production. She brings the knowledge and the fun in our episode today.
You aren’t wrong if you expect me to be giddy with excitement about using technology for metrics. You might be surprised though that I’m actually not an advocate of getting super automated and fancy. This surprise and more ahead in this episode of Leverage Your Spark.
The saying goes: The numbers don’t lie. There’s also a quote popularized by Mark Twain that says: “There are three kinds of lies: lies, damned lies, and statistics.” Hmmm… so which is it? Well, I think it is all in how you approach it. Let’s get into numbers vs. insights in this episode of Leverage Your Spark.
No one likes being judged. Which is the reason I think that a lot of businesses end up skipping or avoiding metrics. But, hear me out here… metrics are not judgements! Sure, most of the time they get treated like grades, but that’s all wrong. Metrics are the landmarks and trail markers on your treasure map to success. If you aren’t checking them, you’re going to have a hard time getting where you want to go. And if you’re referencing the wrong ones, you’ll end up frustrated, and lost.
When presented with a bunch of options, it's completely normal to be overwhelmed. (if you don’t get overwhelmed, we need to talk - I want to know your secret). I’ve found the best way to combat overwhelm is to figure out my criteria for what’s important, so I can get right to the information that matters. And that’s what we’re digging into for your website in this episode of Leverage Your Spark.
Are you hesitant to send out calendar invites or don't prefer to share drive links, because they don't actually have your business email address on them?
That's NOT what email is for!
This is the final episode in our series examining the idea that we're using (and misusing) email for far too many things.
The reason this happens is obvious, email is the default way people communicate for business online. We can do better.
In this episode we’re taking a look at this potential issue through the fourth simple machine of business: technology.
Do your monthly reports arrive in your inbox? That's NOT what email is for!.
This is the third episode in our series examining the idea that we're using email for far too many things.
And I get it - email is the defacto online business communication. But that’s no reason to let it continue.
In this episode we’re taking a look at this potential issue through the third simple machine of business: Analytics. Because intelligent decisions require data.
Are you keeping your to-do list in your inbox? That's NOT what email is for!.
This is the second episode in our series examining the idea that we're using email for far too many things. (that is - that’s NOT what email is for)
It is understandable how we got here - email is the default way to conduct business communications online. But that’s no excuse for continuing to abuse this bit of technology.
In this episode we’re taking a look at this potential issue through the second simple machine of business: Smart Business.
Smart business is all about creating repeatable systems and employing them in a way that works best for you to magnify your efforts.
Do your website form submissions come to your email? That's not what email is for! This is the first episode in our series examining the idea that we're using email for far too many things.
[what is email for] - asynchronous exchange of messages
[history of email]
In the beginning, there was only email. Really - the first use of the “internet” was an email sent in 1971 by Ray Tomlinson.
In this episode we’ll be taking a look at the issue of email misuse through the first simple machines of business: websites.
Now, it isn’t terrible if you get an email to notify you that someone has filled out a form on your website. This is a misuse of email, if email is the only place where your website form submissions go.
My first job was doing data entry for my Dad. He had written the computer programs to process and analyze the sales & labor data for the restaurant. But… in order for those to work, the numbers from the miles & miles of daily report receipts (yes, really - all the sales for the day were spit out on one looooong receipt - like the ones you get at CVS, but narrower, longer and the ink was purple) had to be input into the computer.
To be clear, this is a computer in the mid 80’s. Green screen, 2 floppy drives - one that the program ran on and the other one stored data. A miracle and a menace simultaneously. I can’t count the number of times the computer failed to write to the data storage and all the work I had just done had to be entered again. This is clearly why I HATE to have to re-do anything.
Despite requiring manual data entry, having these programs gave my parents a huge advantage. Payroll could be run at the stroke of a button (there wasn’t a mouse). Sales and labor data could be combined with food costs to see the most profitable hours and if scheduling changes were needed.

My parents opened a restaurant the year I was born. Not until I became a business owner and a parent myself in the same year did I have actual appreciation of what kind of bold courage that required. (seriously… what were they thinking?!?!)
To be candid, my parents had no business opening a restaurant. They are both farm kids from rural Montana. My dad was an engineer by education and profession to that point, and my mom was doing office work at an industrial linen supply company.
But Dad was driven to be his own boss and had a particular love for pizza. Mom was up for the adventure. And so Li’l Peetzas came to be early in 1976.
The most unique thing about the restaurant wasn’t the menu specialty item - the Peezarito, or the baby on the back shelf (very literally, I grew up on the back shelf), but that my Dad wrote his own computer programs to track sales, labor and run payroll.
And that’s the origin of Analytics as the 3rd simple machine of business.

I spent the first 4 years of my business half-ass attempting to implement everyone else’s systems, and it sucked. Late nights, money stress, racing to meet deadlines, having zero confidence about everything because it felt like I was doing it all for the first time.
It wasn’t really until I hired my first coach and then got into Client Attraction Business School with Fabienne Fredrickson that I figured out the only way to make any system work was to take it and make it my own.
Smart business is all about creating repeatable systems and employing them in a way that works best for you to magnify your efforts.
And that’s the origin of the concept of Smart Business as one of the simple machines of business.

Websites are critical for communication & attraction in your business. And they can be so much more. Their functionality can extend to pretty much every facet of business: sales, operations, customer service, human resources (particularly recruiting), finance… the list goes on. When used properly, websites are business assets.
Strap in for a quick listen to why websites are the first simple machine of business.
