Andy: Time is a valuable commodity and one that we can never replenish so it’s important to use it wisely. Louise: So how DO we spend the currency of time to get the most value from our investment. Let’s explore our tips and tricks! Andy: We were going to create a survey to see how much time you misplace in a day, but we ran out of time… Louise: Lucky. That wouldn’t have been the best use of our work time would it Andy? Andy: Maybe not. But neither are those cat memes you keep sending me lol Louise: Those are podcast research! But it’s ok to have fun at work as long as you master your time management skills. So we are going to share our time management hacks. Andy: Without a doubt, the very first step in every project we take on – whether it’s creating a podcast series, creating digital content, or having our daily meetings is plan plan PLAN! Louise: A long time ago a former boss said to me “failing to plan is planning to fail” and it really stuck. Now I’m the planning Queen. Andy: Yeah we almost called this podcast “Plan – Do”! Louise: So the questions we ask ourselves at the start of each day are: What is the most important thing we need to achieve today and what is the best use of our resources to achieve it? Andy: Using a program like One Note to plan your weeks ahead, or even the tasks function in Outlook or something similar can help sharpen your focus on what needs to be done now and across the short to medium term.  Louise: Remember: your time, creativity and skills count as resources.  Andy: It’s also important to ask: What is our return on investment? Louise: The biggest investment is our time. So for example, if we are going to spend 3 hours creating a graphic for social media that is only going to be seen by a handful of people – that is a not a very good return on investment. Andy: Similarly, if you let other people’s priorities creep in and jump the queue, you’re going to be scratching for time to complete your own projects. Louise: Which means it’s really important to say no. Andy: Now, we’re not saying you should be going back to your boss and saying no to everything they ask you to do. Louise: That would make for a very awkward scene. What we’re saying is get your priorities right. If you don’t have time right now for someone, it’s OK to let them know and see if you can negotiate a time to look at their things later. Andy: The important thing here is to clear on what you can deliver in a reasonable time frame. Make a plan, and stick to it! Louise: Speaking of which, two habits you can put into your repertoire right way: make your diary the first thing you look at every day. Andy: This will give you an idea on what’s on your plate and whether there is any room for something else to be added for the day. Louise: And check your emails twice a day.  Andy: This is a big one. It’s really important to look at your correspondence every day, but for anybody who remembers the days of surface mail being the delivery option, correspondence was only handled once a day. Louise:  Even though electronic mail has made written communication much quicker, it doesn’t mean you should be hitting refresh every hour. Andy: Nominating two times during the day to check and reply to your emails will free your mind for other tasks during the day, but also mean you’re able to give those emails their due attention. Louise: Which is better for everybody! Andy: I feel like we’ve covered a lot of ground in the toolbox today. We’ve added the details to the show notes on our website, but let’s have a quick recap on the main points. Louise: The key to successful time management is to plan Plan PLAN! So find an app that speaks your language and helps you to plan your weeks and days. Andy: Make your diary or calendar your first port of call every day, without fail. How else will you know what’s already on your plate? Louise: Cut down on your email check-in times to twice per day. The time you will save on interruptions to your train of thought will also pay off in better quality responses when you read them at your scheduled times. Andy: And remember, it’s OK to say no. This doesn’t have to be a hard no or ‘go away’, but instead a chance to say “I’d really like to help when I’ve got time to pay it proper attention” and schedule a time in. Louise: But let’s face it, we don’t always have control over priorities, so make sure you’re clear on what your priorities are and how any new request will impact on how you will be able to deliver on them. Louise: Right off the bat, it’s really important to understand we’re not endorsing any of the products we’re talking about today. Andy: We’re giving you our top five based on our experience and needs and think it’s well worth your time exploring these in your hunt for what serves you. Also something we should note is that we’re Mac users, and Macs are notorious for not working with some programs, so some of our choices might surprise you! Louise: We’re big on productivity, like everyone else, right? Andy: You bet! The more productive we are, the sooner we get to log off for the day and cuddle the cats. Louise: Or train for that marathon! Andy: Number 5 on our list of tools that have helped us get an edge is Canva. This graphic design program has a free or subscription version and after trying it out, we were impressed!  Louise: This is the program that’s going to help you design documents and brochures that have that professional edge if you’re not quite at the stage where you can afford a graphic designer.  Andy: There are all sorts of templates to inspire you, or make things quick and easy from the start and it’s intuitive design means even I can use it and get a good result. Louise: Number 4 and I’m looking at you, Outlook! For the first couple of months we plodded along with other mail clients until we thought “it’s probably just worth paying the subscription fee and going with something we’ve both used in all of the places we’ve worked before.  Andy: Maybe it’s that sense of familiarity that brings a certain comfort, or just knowing that you don’t have to relearn commands for simple actions you’ve always just been able to do, but Microsoft Outlook has made emailing so much more efficient for us. Number 3 and I want to give a shout out to Asana, which was really useful in the early stages of setting things up for our business.  Louise: We could easily set up categories for different ideas and even had the option in how this looks visually – either a storyboard type look and feel or a more traditional list layout. Where this started to get a little bit unmanageable for us was when the business grew too many arms and legs.  Andy: Asana would definitely be a great choice if you’re managing different projects as part of your day to day, but for running an entire business, we chose an option with fewer features, believe it or not, to help us map our empire! Louise: Number 2 is Trello. I love Trello and it’s ability to give me an easy visual of whatever I’m scheduling. At any one time, I can get an excellent big picture view of the variety of content I’ll be serving to my audience across the coming month. Andy: The colour codes and categories make it really easy to manage content schedules over many weeks ahead and see where more of certain type of content needs to be added or maybe when features could best be diverted to other parts of the schedule to keep the variety consistent.  Louise: Free and paid subscriptions are available. So what’s the number one program we’re using to keep our business planning on track? Microsoft save the day again. Andy: Yes. Number 1 on our list is One Note, which we use every day to help us stay organised and on task. Microsoft One Note is like an electronic compendium you can build with sections which you can then fill with pages and subpages for different topics.  Louise: We’re constantly making checklists, and can quickly flag information on relevant pages for quick reference or reminders during meetings. It’s simple, sharable and it works!  Andy: I feel like the concept of a one-stop shop, although well intentioned, is a bit ambitious after our journey so far. Louise: There are definitely some applications out there that offer a massive number of tools in the one place. Andy: But sometimes another program, although similar, might be better for your individual needs, or complement something you’re already using really well. Louise: Here’s our top five as it currently stands, with link in the show notes for you to explore. Louise: We’re all familiar with the notion of everyone having their own voice. It’s pretty easy to tell, for example, when your friend’s social media account has been hacked and someone is posing as them. Andy: We can tell it’s our friend talking not only by what they say, but how they say it. Louise: And it’s no different when you think about the voice of a brand.  Andy: Let’s say, for example, the person who normally runs the social media account for ABC accounting is a facts and figures person who always posts interesting facts about tax law. They might put up an interesting piece of information about little-known tax incentives, or an attention-grabbing piece on historical tax law. Louise: Did you know, for example, that Australia’s film industry really took a turn for the better for a while when Australian tax law 10BA allowed a tax deduction for investment in Australian film projects?  Andy: Exactly the kind of thing the social media manager likes to post to stay connected with their firm’s audience. But one sunny day, they decide to take a month off and go beach hopping. Louise: Which is all good and well, but they left someone else in charge of the socials while they were away and suddenly their feed, which is normally interesting and insightful starts to tick up memes about tax claim fails and an unusually hard-line call-to-action approach.  Andy: Now their feed is starting to attract a different type of viewer and lose the interest of its loyal followers. Instead of coming across as the tax professional with a deep interest in the ins and outs of tax law, it’s coming across as an attention-seeking marketeer in the eyes of its followers. Louise: So while the social media manager comes back with a healthy level of vitamin D, they’ve got their work cut out for them rebuilding the trust of their audience. Andy: Cue social media strategy for getting your voice right. Louise: This came up in conversation recently in the hallways of Welcome Change Media, where we produce the Any Excuse For Fashion website. Andy: As we grow the project further, we need to be really careful not to disrupt the voice Louise has created from day one on the project. Louise: We have the benefit of brainstorming ideas, Andy: And I’ve even helped to write some of the content in recent weeks, Louise: And keeping that in mind, we’ve had to formulate a strategy to make sure the words you write are spoken in the words I use. Andy: Because your voice is the one that carries the Any Excuse For Fashion image. Louise: So when you’re looking at your own brand, have a think about how it speaks to its audience. Andy: Is it cheeky, or wise? Louise: Does it like to focus on facts or have a bit of fun? Andy: If your brand was at a party, who are the people it would be hanging out with? Louise: Once you’ve got these concepts embedded, write them into a style guide so your brand’s social media presence doesn’t suffer when your social media manager takes their well-deserved break. Andy: So, having a unique voice isn’t just a personal trait, it goes with the territory of a brand’s personality, too. Let’s have a quick recap on how to find and maintain that voice. Louise: How much control do you feel like you have over your day? What kinds of things do you do to keep yourself motivated and on track? Andy: Have you got that one colleague who seems constantly exhausted and has trouble keeping focus? Or keeps talking about the same thing non stop? Louise: Exhausting! Maybe that colleague is you. Andy: Thanks for the heads up on that Louise, but seriously, sometimes there are days when it’s easy to get deflated, as if the world is crowding around you and it’s all getting too much! Andy: Yep, this is, pure and simply, about keeping your focus and giving yourself the things you need to keep that cup full, and give your audience the engagement it craves. Think of your favourite coffee mug. Now fill it with the best tasting coffee you’ve ever had. The flavour is just right and the temperature is perfect. Louise: I could drink that coffee all day! Andy: Maybe you could, but what would happen if you did? Louise: Hmmm, I’d probably be overloaded with caffeine and really sick of coffee by the end of the day. Andy: Right you are. So what can we do to make sure you still enjoy that coffee and can keep enjoying it? Louise: I feel like you’re going to tell me to drink tea instead. Andy: Not quite. But you’ll have more appreciation and desire for that perfect coffee, which when it comes down to it, is perfect every time, if you break it up a little bit. Rather that drink the same thing all day, take a sip of tea. Louise: I love tea. Andy: Have the occasional drink of water, or whatever else you can add for some variety. Louise: I feel like this could be a great analogy, not only for how we work from day to day in our jobs, but also how we connect to our audiences on social media. Andy: Sounds amazing, Louise… tell me more! Louise: Well, Andy, I feel like what we’re saying here is your audience will dine on your content more readily and more frequently if you mix it up a little bit. Andy: And just like if you section off different tasks to different times of the day when you’re working to make it easier to maintain focus and interest, your audience will want to keep coming back for more if you approach your content the same way.  Louise: Not only will you find it easier to maintain focus for allotted periods of time but you will get some strong, honest to goodness engagement with whatever you’re investing your time into.  Andy: Have a think about your business and the different things you accomplish from day to day, or from project to project. Louise: Thinking about all of those different things you do, have a conversation online today about just one of those things. Andy: Maybe there’s a quote that’s inspired you today. Louise: Although it won’t always be a quote. Andy: Maybe it’s project you’ve completed that really catches the eye. Louise: But it won’t always be a photo. Andy: One of the keys to keeping your cup full is variety. Louise: Mix it up! Andy: And keep advancing, methodically, on all fronts. Louise: I feel like my cup is full with a refreshed perspective! How do you strip it back and identify the critical ones? Louise Poole and Andy Le Roy, giving you the insights that empower you to become the expert in your field Elevating Experts! Andy: It’s really easy to write a list of everything that needs to be done and call them priorities. But it’s not very effective. Louise: If everything is a priority, then NOTHING is a priority. We’re going to share our tips and tricks to prioritising the priorities! Andy: It was Stephen Covey, author of The 7 Habits of Highly Effective People that said: When you have too many top priorities, you effectively have no priorities. And I know you love that book Louise.  Louise: I do! It’s one of my favourite inspirational books for getting yourself organised – in both business and life. And it’s such a good point. Especially that we now live our lives in a more interconnected way than ever before. Andy: And when everything is available to us all the time, and our to do list is never ending – it gets hard to determine exactly how to decide which is our most priority priority. Louise: Maybe we should call them our critical priorities! Andy: Done! Let’s define a critical priority as something that must be accomplished within a specified amount of time, no matter what. Louise: For example, if your business sells products online – a critical priority is making sure that items purchases by your customers are posted in an appropriate time frame. Andy: Or for our business, Welcome Change Media, once we’ve decided when we intend to launch a podcast, critical priorities involve researching, scripting, and production to make that launch date. Louise: So with Welcome Change Media we have this very long list of things we want to achieve and programs we want to make, but if ALL of them are priorities then we overwhelm ourselves and we move forward very slowly, or not at all, on all of them. Andy: Which is where critical priorities come in. And taking an honest look at your business values and goals and what is important for you to achieve. Louise: So first write that list of what you want to see your business achieve. Make it as big or outrageous as you want! Because we are going to break it down into smaller achievable steps. Andy: And then add a time frame of when you want to achieve those things next to them. For adding a new product to the inventory it might be a month. For franchising your business it might be 3 years. Louise: Then put your realism hat on. How many steps are there required to bring those goals to life? And how long will each of those steps take you or your business to accomplish realistically? Andy: For this very podcast your listening to we said we want to launch on x date, which is 6 weeks away. And the major steps we need to have a podcast to launch are: Write some episodes, record those episodes, produce those episodes, and then release those episodes. Louise: Those become our critical priorities. Then we realistically define the time it will take. By then end of week 2 we will have the scripts written, week 3 records, week 5 production and then week 6 are ready to launch. Andy: And we gave ourselves an achievable 6 weeks instead of less time because that allowed us to keep up with our other ongoing work, whilst growing our products and our brand. Louise: Set YOUR critical priorities, don’t let them set you! Who are we trying to connect with and why? Andy: What are the social media groups and accounts you follow? Are they constantly going viral with their content or do they consistently post content you find interesting? Louise: What was the last viral video you remember seeing? Andy: How about the one before that? Louise: Did it inspire you to stay connected to the page that posted it? Andy: Maybe it would be better to build your community more steadily over time, rather than trying to be the next best thing, that people remember until the next best thing comes along. Louise: Let’s talk about Belinda, a tiler who specialises in tessellated flooring. Andy: A pretty specialised field with an audience ready to admire her work! Louise: Exactly. Belinda does all kinds of tiling, but the jobs she loves most are the ones where she gets to work on the intricate patterns and designs. Andy: Belinda’s brand voice is one of an expert who loves what she does, and appreciates a job well done. She’s got a great sense of humour as well, and doesn’t take herself too seriously. Louise: Amongst her posts, Belinda speaks of her appreciation for old houses and the different styles of tiling. Her audience are the types of people who love old world design and might even be looking for some inspiration for their own house. Andy: Every now and then, Belinda finds some really strange tiling choices made in decades past. It might be the avocado green splashback in perfect condition… almost a shame to demolish and replace, or maybe a funny example of a tiling job gone wrong that she chooses to share with her followers. Louise: When it comes to Belinda’s posts, they will usually have a theme around tiling, or old houses, or even places in her locality. Andy: By following this recipe, Belinda is finding her niche. She is building trust and credibility.  Louise: When people in the local area think about a tiling job that needs to be done, Belinda is top of mind because they’ve seen so many of her beautiful posts, showing off the professional finish of her craft. Andy: Sure, Belinda could focus on posting sensational videos to build up her following, but out of all of those people who give her a like, how many will be interested in what she actually does? Louise: That’s why putting the right strategy in place to build your community is always going to get you the connection you’re after.  Andy: Belinda knows what she’s good at, and knows what her audience loves: her expert take on specialised tiling. Louise: So what’s your specialty? Andy: Are you a veterinary practice that specialises in geriatric animal care? Louise: Maybe you’re an IT company that specialises in fool-proof home set-up. Andy: Whatever you specialise in, your audience is waiting to connect with you. Share your interest and, dare I say, passion. Louise: Don’t get caught up in marketing speak and advertising lingo. Be yourself and build your community organically. Then when you decide to run a promotion or advertising campaign, you will see even better results. Andy: When it comes to connecting in the right way, think about talking to a well connected community, rather than trying to be seen by everyone. Not an easy question at the best of times, but how does your brand answer this? Louise Poole and Andy Le Roy, giving you the insights that empower you to become an expert in your field. Elevating Experts! Louise: A part of every successful business’s journey is finding their brand voice. Have a think about your favourite brand. What kinds of things to they say. How do they say it? Andy: Your brand voice is going to come out of your brand values. Think about good old Vegemite. Are they more likely to weigh in on a debate about women’s rights, or take you for a nostalgic trip down memory lane? When talking fashion, whose conversations are going to have a more casual tone… Billabong or Myer?    Louise: Finding the right voice for your brand is one thing. Making sure you’re consistently on brand is another. Andy: So here are a few quick tips to get you moving in the right direction. Louise: Set aside some time to think about your brand. Andy: Let’s say you run a landscape and gardening business. What are the things you want people to know about your business, your brand? Louise: Does your business have a specialty in designing gardens that are sympathetic to the natural lay of the land? Andy: Are your gardens filled with formal lines and hedges, or do they have a natural, organic element? Louise: Do you specialise in small spaces? Andy: All of this counts when you’re connecting to your audience. Louise: Now that you know who you are, our landscaping friend, what do you stand for? Andy: Are you promising to help people get the most out of a tight space? Louise: Is your strength your expertise in bringing birds and beneficial bugs back into the environment? Andy: Already, we’re starting to get a picture of how this business might talk to its audience – definitely an expert with pride in what they do, maybe with a sense of humour around packing a lot of good things into a tiny space. Louise: And who might their audience be? Andy: Maybe people who love certain styles of plants. Louise: Or maybe their biggest fans are the people who love to see a small space transform into something really beautiful and usable. Andy: There are hundreds of ways this business could choose to portray itself, but once they’ve settled on their style, their best tactic is going to be using that same voice to tell their stories every time. Louise: Have a think about your style. What are some of the things your brand stands for? Write them down. Andy: Once you’ve got your brand values and basic style guide figured out, turn it into a check list to refer to every time you make a post. Louise: When you write your posts, read over them before hitting the publish button and ask yourself “is there something my brand would say differently here?”. Your checklist will tell you. Andy: I love a checklist, Louise. They always help me to stay on task and in this case, stay on brand! Louise Poole and Andy Le Roy, giving you the insights that empower you to become an expert in your field Elevating Experts! Andy: Showing up every day with a good product or message matters MORE than showing up once with a perfect one. Louise: That’s right! Consistency is the key to success! Andy: And If consistency is the key to success then perfectionism must be the cause of the problem! Let us explain why. Louise: When we believe that something must be absolutely perfect before we launch/publish/promote it we set ourselves up for failure and often even stop ourselves from beginning. Andy: Focusing on perfectionism creates an all-or-nothing mentality where we live in fear of failure or disappointment. And at some point, this mentality leads most of us to give up. Louise: Which is why focusing on consistency is the anti-dote. When we work on changing, refining or improving one thing at a time we change our internal narrative and set ourselves up for success.  Andy: Each consistent action we take leads to positive feelings of accomplishment and incrementally add up fast. In our business, we’ve been setting up our daily checklists in One Note, and it is a really satisfying feeling ticking of to do’s and done at the end of the day. Louise: Don’t forget the spreadsheets! We love setting up our spreadsheets of information that we keep adding to each day. What started off as something small, through consistency has added up to a huge amount of resources. Andy: When it comes to examples of consistency an athlete is a really good one. They didn’t start out breaking world records on their first attempt. Before they even began their journey they had to accept that it would be one of consistency not perfectionism. Louise: First they had to define what they wanted to achieve, then create a plan, break that plan down into realistic goals and then begin. Andy: And keep working on it, re-refining their goals as their skills grow. When you focus on the process, the results will come. Louise: Or another example, most of us already achieve consistency in our lives by brushing our teeth! It might now be something that we do without really thinking about it, and certainly no one expects perfection from the act, that’s why we have dentists, but our consistent daily teeth brushing actions adds up to the outcome we want – less trips to the dentist! Andy: And it might seem easy for us now, but that’s because we’ve been doing it consistently. But remember being that child who was in the bathroom crying and trying to not clean our teeth. Once we started it got easier. Louise: So how do teeth brushing and record breaking athletes related to growing your business and brand? Andy: Just start.  Louise: Show up every day consistently, with messages and actions that are consistent with your brand values and voice. Andy: It doesn’t have to be perfect, there is always room for growth.  Louise: Every day it will get easier.  Andy: Just keep consistently showing up. You’re exhausted, so how do these people keep putting amazing content out time after time? I’m Louise Poole, and I’m Andy Le Roy, and we’re giving you the insights that elevate you to become an expert in your field. Elevating Experts! Andy: If you’re using social media to connect to your tribe on a regular basis as part of your brand awareness strategy, you’re going to want to be consistent in all sorts of ways. Louise: But along with everything else you need to think about, being there for your audience, almost like a standing appointment, is going to put you in their mind as someone they can rely on. So how do you find your inspiration day after day? Andy: Let’s home in on how we’re doing this. If you’re not batching and scheduling your content by now, this would be a really good time to start thinking about it. Louise: I really look forward to our content brain storming sessions. Andy: Me too. It’s the space where no idea is a bad idea and we can come up with a plan of what we’re going to cover and when. Louise: When we’re putting this podcast together, for example, or even when we were working in radio, we plan at least one month ahead so that we’ve got a regular supply of content to prepare and publish on time. Andy: It also makes us think about how we can take part in certain themes or events ahead of time, and where we can make use of our evergreen content. Louise: Evergreen content… let’s have a look at what we mean by that. Andy: Well, let’s just say you produce a podcast every day, and today, you’ve decided to have a chat about what’s happening in the Suez Canal. Louise: Right, because most of us might remember when a container ship got stuck and clogged up the works for a while. Andy: Yes. And this is something that, as we’re talking now, is a past event. The content isn’t relevant any more. BUT, if we chose to talk about what to plant in your garden at this time of the season, that’s a type of content we could easily pick up and run with again at any time. There will always be some advice to be had on what you can plant right now.  Louise: That’s evergreen content. So as you’re planning ahead for what you’re going to engage your audience with ahead of time, it’s really wise to have a look and see where your quick burn content might live. For example, you might have something to share on St Patrick’s Day. For the rest of the month, you might have some other insights to share. Andy: It all comes down to the planning. Like when we planned ahead for this podcast series, we planned a good two months ahead with ideas on what subjects we wanted to cover and plotted it against a calendar so we could see what that looked like. Louise: Then we worked on researching and scripting each episode before we even thought about opening our mics. Because the best content Andy: Is planned content. Louise: So let’s have a look back at how we can plan our content schedules for success Andy: The first thing you’re going to want to do is set a goal for how many pieces of content you want to work on. Louise: We work on the premise of twelve episodes a month, so mark out on your calendar when your content will be published. Andy: Next, the fun part – brainstorming! Louise: Have a look on your calendar to see if there are any one-off themes you want to include, then work on your evergreen content around that. Andy: Then when you’ve got your ideas jotted down, write that content and schedule your publishing ahead of time. Louise: Then it’s just a case of enjoying the connection you make with the people your content has touched that day. Enjoy! Because if you don’t have your branding clear then no amount of paid advertising is going to get you the results you want. Louise: Paid advertising can be a very effective way of boosting your engagement, building relationships with even more customers, and generating sales.  Andy: But first you need to have the foundations of your branding clear, otherwise the mixed messages lead to a mixed, often failed response.  Louise: Here are our top 5 places to start strengthening your brand: Andy: Number 5. The first question you need to ask yourself is ‘what do you stand for?’ While what your business does, or sells, is important, the perception you occupy in your client’s minds is going to be what makes them choose you over your competitors. Take some time to write down exactly how you want to be perceived by your customers.  Louise: For example, if your business is a restaurant: Do you have the best value and biggest portions in town? Are you the best fish and chips on the coast? Or are you a specialist in organic and ethical local produce? Andy: Number 4. Take an honest look at what you’ve said and how it matches up with what you’ve actually been doing. Critically evaluate your brand objectively.   Louise: Don’t take it personal. You haven’t failed if you weren’t projecting those values in the past, being able to take a look at what is and isn’t working and refine your approach from there is what will make you a success. Andy: Number 3. Now it’s time to reposition from who you are to who you want to be. Your brand is your promise to your customers.  Louise : So, If you have promised them that you are to go to place for organic and ethical local produce then all your messaging, marketing, and interactions need to reflect that. When they don’t – you break promises with your customers and lose their trust. Andy: Number 2. Show people who you are. Consistently. You don’t just do this through your words, but through every other element and aspect of your business.  Louise: Everything from your choice of colours and fonts for your logo and website right through to the product, customer service and beyond needs to be on brand.  Andy: Number 1. Live and breathe your brand fully. Make sure every decision you make for the business has the brand in mind.
