What tech, software and tools do I recommend?

This is by far the most common question I get asked as the CEO of an online business support agency and OBM to some incredible business women.

Sometimes when we're creating content, recording podcasts or trying to have our voice heard in the online space we automatically jump to looking to say something controversial or exciting.

If you're heading to that 6 or 7 figure of business here's what I've learnt from being BTS in the businesses that make it there so that you can see what is actually important (and honestly, it's not sexy or probably even that surprising).

Things are going to go wrong in business.

Sorry, not sorry.

If you've been in business for any amount of time, you should know that things go wrong, deadlines get missed, emails go out without links or at the wrong time, tech breaks down, it's a long list of things that can go wrong in business.

Despite it being almost a guarantee that things will go wrong, they are also often preventable or at least minimisable when we employ systems that work for us AND we keep them up to date.

Join me in this episode as I chat about why sh*t goes wrong and how you can use your business systems to minimise the frequency and cost involved of things going wrong.

THIS is the time management process that I have been using for 4 years to get sh*t done.

It's my birthday!

The last 12 months have been HUGE for me in terms of life and business (we just crossed over 1 million in life time revenue!), and I wanted to share some lessons from the past 8 years of being in online business and 3 years running The Virtual Chapter as an agency to celebrate.

I know you've probably seen a billion of these "lessons I've learnt" podcast episodes, so to make sure that you still want to listen to this podcast after being so cliche, the lessons I'm sharing are small, online business and leadership specific.

I talk about resilience, communication, empathy, collaboration, work-life integration, decision-making, accountability, purpose and so much more.

I hope that you're able to take away even just a couple of the lessons that I've learnt and implement them to your leadership practices whether that's leading yourself as a solopreneur or leading a team!

Mid year is the perfect time of year to take stock of your business and put some time aside to conduct mid year reviews.

In part 3 we're talking about reviewing your team.

In part 1 and 2 we've covered Systems & Process and Technology & Software. Pop back and have a listen because those audits will inform the type of people and skill sets that are going to serve your business.

This is a bit more of an uncomfortable topic, and if you have a hangover from corporate performance reviews, bare with me on this one because it does not have to be like that at all.

In this episode I'm breaking down team reviews into 2 parts to help you go through the uncomfortable decision making process, improve team dynamics and communication and give you some tips for providing effective feedback and grow your team in a positive way.

One of the main reasons auditing the technology in your business is so important is to make sure you aren't throwing money at software that isn't serving you or you're not even using, but we also want to make sure that the technology we are using in our business is supporting our systems and goals and making things as efficient and smooth as possible.

My least favourite discovery calls are with potential clients who ONLY want to know how much their VA or OBM can make them.

Yes, hiring team is an investment and I get that in an ideal world you would know how much money you are going to make from that investment, but that's not really how it works.

There isn't always a direct correlation between the tasks that your VA or OBM does and the income in your business.

But I still recommend hiring support, so in this episode I want to explain the 4 key ways a VA can help you make money and why simplifying the results of your team to direct financial outcomes isn't the best way to quantify your ROI.

If you missed it, last week's episode I introduced you to the idea of the seasons of business: Expansion, Integration and Flow.

You can have a quick listen to that episode here if you missed it.

In part 2, I'm talking about how you can help your team to navigate the business seasons with you.

Each season of business can require different support, have different challenges to navigate and I often see that as business owners, we get so caught up in what we need to do that we forget to keep our team involved with what's going on in the business and how they can best support us and the business.

In this episode I talk about focus areas and communication with your team to make sure you feel supported in the way that you most need during each season that you're business goes through.

It's time for a little peak behind the scenes over here at TVC and a chat about how I navigate business seasons as a CEO at The Virtual Chapter and for the businesses that I support.

The 3 seasons that I want to talk about today are:

  1. Expansion - growth and pushing past our limits
  2. Integration - reflection, finding balance and long-term planning
  3. Flow - alignment, optimisation and sustainable growth

We hit the ground running this year and we were well and truly in a season of expansion in January and February with new clients, new team, new offerings. Since then we have followed the natural course of things with a season of integration, and now we are moving into a season of flow.

This episode is all about what each of these seasons is, what they look like in business and how I support clients in each of these seasons as an OBM.
Come back next week for Part 2 for tools on supporting your team through business seasons and the situations and difficult conversations that can come with them.

What tech, software and tools do I recommend?

This is by far the most common question I get asked as the CEO of an online business support agency and OBM to some incredible business women.

In this episode I'm going to give you the low down on my go to tools for running group programs and masterminds.

We'll cover the tools that I recommend all the time for project management, client tracking and content planning, forms, email marketing, landing pages, learning management, client communications and checkout.

  1. Project management - Asana
  2. Client tracking & content planning - Airtable*
  3. Forms - Jotform

  6. Learning Management - Kajabi

In around 90% of the discovery calls I have when I ask what support is needed in the clients business, the tasks are very front end, marketing focussed and they don't want support in their programs or client delivery.

Now if that's where you feel you need support, not a problem at all!

But what I've noticed when I dig a little deeper is that this mindset often comes from not knowing how team can support you as opposed to not actually wanting the help.

In this episode, I want to share with you exactly how we support our clients in their masterminds or group programs so you can get this type of support too.

The 5 areas that we're talking about when it comes to getting VA support in running a group program are:

  • Launch Support
  • Client Onboarding
  • Program Delivery
  • Customer Service
  • Client Offboarding

Over the last 4 years I have worked with the incredible Ellie Swift**. I joined her team one week before the launch of her first ever mastermind, and since then we have been refining our processes in these masterminds.

We have reviewed over 150 applications for VA roles in the last 12 months and I am incredibly proud of the process that we have in place for recruiting and hiring.

This business started out with just me, and over the last 2 and a half years we have had 20 VA's plus podcast editors and graphic designers since then.

And while you might only be looking to hire one person into your team I cannot stress enough how important having a hiring process is to get the outcomes you want for your business.

In this episode I'm walking you through the nitty gritty of these 6 steps to our application process.

  1. Get incredibly clear on the role you are hiring for
  2. Create both a fun and useful application process
  3. Shortlist candidates
  4. Interview
  5. Provide a test project
  6. Present your offer and onboard your newest team member

Grab a notepad and pen because you're going to want to take some notes.

It is incredibly easy to assign blame to a team member.

But something I often to talk to business owners about, when they have had a negative team relationship in the past is about having a critical look at their place, as the business owner and leader in the relationship.

Understandably it is much easier to critically look at other peoples performance, outcomes and their part in the relationship than it is to dive into where we as the leader may have missed the mark on setting our team up for success.

Today I'm talking about the 4 most common unrealistic expectations I see in the online service provider space and the consequences to the work outcomes and your business of them.

Today's episode is a super fun topic, because seriously, who doesn't love giving and receiving gifts.

And given that it's almost the middle of November, an episode about gift giving seemed timely.

With a background in major events (including gifting!), she loves nothing more than seeing how a person’s face can light up with joy when presented with the most unexpected of gifts.

In this episode we want to help you apply the joy that gift giving (and receiving!) brings to your business and just some of the things you can use to create meaningful experiences for your clients and your team.

What does it really take to make over $80k in sales in just one month?

Sofia Rose Bernardi did just that in a very recent month and she is joining me to have a conversation around big income months and what really goes on behind the scenes. This is a really candid conversation about what the business looked like in order to achieve that.

Sofia is a mindset and business coach who helps new and rising coaches master their mindset, create an aligned and profitable strategy and grow a 6 figure business using her Rising Coach Method. She has built a multi-6 figure business at the age of 24 and credits her journey to the discovery of the power of the mind and the process she journeyed in her late teens and early twenties to overcome her own personal trauma and recognise her greatness and potential.

Join as as we discuss:

  • Sofia's journey to creating her own multi-6 figure business
  • The offers that Sofia had that got her to an $83k sales month

There's a lot of advice out there that suggests that in order to scale you have to start offering group programs or DIY type offers...and that's simply not the case.

It is completely possible to scale your business with 1:1 services. I have done this in my own business and with clients.

If you're a 1:1 service provider and you just can't imagine changing your offering, but you're ready to grow and scale, and hit some bigger income goals this is for you!

Tune in to hear:

  • What's really holding you back from scaling your business right now
  • Why it's really important to nail your system behind 1:1 delivery
  • My 3 stages of a client management system that is going to have you scaling with ease

One of the things I always find incredibly interesting, is that when people find out that we work with certain people or coaches there's always one question they ask about them.

And the question that people ask this week's guest: "How on earth does she produce so much content in all of the places?!"

I am incredibly excited to dive into this with my incredible client and friend, Elise Danielle.

Elise is known for being a badass business mentor and mindset coach who is obsessed with helping people create a wildly purposeful and profitable business. Elise is all about showing you how to grow and scale businesses that defy the rules of marketing and logic. Elise started her business, scaled to 6 figures in under 6 months, grew to multiple 6 figures in 24 months, and to over $1 million in total revenue in under 4 years.,

And today, Elise and I are talking about content.

Content is such a huge part of being online, and Elise's systems and structures, and mindset around creation, repurposing and processes for her content are game changers.

Tune in to hear:

The journey that Elise went on to get to where she is now as a badass business owner and content powerhouse online
Elise's mindset around content marketing
Some of the biggest misconceptions around content creation
The honest to goodness, behind the scenes of the content processes in Elise Danielle.

This week I’m turning 32 (in fact while I’m recording this it’s the day before my birthday!), so I wanted to do something a little different with today’s episode and I won’t be talking about systems or tech or team (much) but it has been a really really big year and wanted to reflect back some of the lessons and learnings from the last 12 months.

And it hasn’t been a year of huge, epic changes or shifts but it’s definitely felt more like a year of coming home and anchoring more deeply into what I want life to look like - so don’t expect anything too profound in this episode, but more about those little nudges and lessons I’ve had along the way.

Let’s jump right in!

You NEED systems in place if you want to scale your business.

There's no two ways about this, you just can't get around it. I truly do not believe that it is possible to scale your business to multiple 6 or 7 figures without systems in place.

Selling the energetics of business as THE way to get to your next big goal, has become a huge thing, and while it's such a big piece of it...we don't talk about systems enough, and you better believe that behind the scenes of your favourite multi 6 figure businesses, there are systems.

Tune in to hear:

  • What the difference is between systems, processes vs tech and tools
  • What you need systems for in your business (hint: it's everything!)
  • How to know which system you should be focussing on right now to scale your business

And so much more!

AND! If you don't know where to start...I got you, stay tuned until the end
